Job Overview: We are seeking a dedicated, detail-oriented, and proactive HR and Admin Associate to join our team. The ideal candidate will have prior experience in managing hiring-related tasks, such as resume screening, interview scheduling, and candidate communication, while also contributing to key administrative duties. This position is perfect for someone who thrives in an organized environment and is passionate about supporting the recruitment process while ensuring smooth office operations. The HR and Admin Associate will assist in maintaining task cards for hiring, creating job descriptions, overseeing administrative tasks, managing office supplies, maintaining office cleanliness, and ensuring proper functioning of office assets. Strong organizational skills, excellent communication, and adaptability to company SOPs are essential for success in this role.

Key Responsibilities:

Hiring and Recruitment Management:

  • Oversee the entire hiring process, from job postings to candidate selection.
  • Screen and review resumes to identify qualified candidates.
  • Schedule and coordinate interviews with potential candidates, ensuring timely communication.
  • Maintain task cards and track progress throughout the hiring process.
  • Communicate effectively with candidates regarding job openings, interviews, and the next steps in the hiring process.

Job Descriptions and Candidate Communication:

  • Create and update job descriptions for various roles within the company.
  • Engage with candidates to ensure a positive and professional experience throughout the process.
  • Conduct initial phone screenings and interviews to assess candidates’ qualifications and cultural fit.
  • Ensure a positive candidate experience, reflecting the company’s values and commitment to excellence.

Administrative and Office Support:

  • Assist in maintaining office supplies and ensuring stock levels are sufficient for day-to-day operations.
  • Keep the office environment organized, neat, and conducive to a productive work atmosphere.
  • Oversee the management and care of office assets, including furniture, equipment, and technology, ensuring everything is functioning properly.
  • Ensure office cleanliness is maintained, coordinating with cleaning services as needed.
  • Manage office-related administrative tasks such as scheduling meetings, coordinating with vendors, and handling mail and deliveries.

General Responsibilities:

  • Assist with the onboarding process for new hires, including document preparation and paperwork.
  • Collaborate with the HR team to support overall recruitment goals.
  • Keep up to date with industry trends and best practices in recruitment and hiring.
  • Assist in organizing office events, meetings, and team-building activities.

Requirements:

  • Proven experience as an HR Administrator, Hiring Associate, or in a similar role.
  • Prior hiring experience in Amazon/Ecommerce agencies is preferred.
  • Strong ability to adapt to SOPs and company processes.
  • Excellent English proficiency and strong communication skills, both written and verbal.
  • High intellect, attention to detail, and excellent organizational skills.
  • Ability to manage multiple hiring tasks and candidates efficiently.
  • Familiarity with using recruitment tools and platforms.
  • Strong ability to build rapport with candidates and maintain a positive experience throughout the process.
  • Excellent administrative skills with the ability to manage office supplies, assets, and maintain a clean and organized office environment.
