HR and Administration Executive

Role Overview:

The HR & Administration Executive is responsible for managing end-to-end HR operations and administrative functions within the manpower/staffing business. This role ensures smooth recruitment processes, employee lifecycle management, statutory compliance, payroll coordination, client documentation, and overall office administration support.

Key Responsibilities:

1. Recruitment & Staffing Operations

· Coordinate end-to-end recruitment process (sourcing, screening, interviews, onboarding).

· Manage bulk hiring for client projects.

· Coordinate with recruiters and clients for manpower requirements.

· Prepare offer letters, employment contracts, and deployment letters.

· Maintain candidate and employee databases.

· Ensure timely onboarding and documentation of deployed employees.

2. Employee Lifecycle Management

· Handle employee onboarding and induction.

· Maintain employee records (attendance, leave, contracts, personal files).

· Manage confirmations, renewals, transfers, and exits.

· Conduct exit formalities including clearance and full & final settlement coordination.

· Address employee queries and grievances.

3. Payroll & Compliance Support

· Coordinate payroll inputs (attendance, overtime, leave, deductions).

· Ensure compliance with statutory requirements:

o PF (Provident Fund)

o ESI (Employee State Insurance)

o Gratuity

o Bonus

o Labor laws

· Liaise with finance/accounts for salary processing.

· Maintain statutory registers and documentation.

· Support audits and compliance inspections.

4. Client & Contract Management

· Maintain employee deployment records client-wise.

· Prepare manpower reports and MIS reports.

· Ensure client documentation compliance (ID cards, agreements, contracts).

· Coordinate with clients regarding employee attendance and performance issues.

5. Administration Duties

· Oversee office administration activities.

· Manage office supplies and vendor coordination.

· Maintain asset registers.

· Handle travel, logistics, and facility management.

· Ensure workplace safety and compliance.

6. Reporting & MIS

· Prepare monthly HR reports (headcount, attrition, payroll summary).

· Maintain manpower tracker and recruitment pipeline reports.

· Generate compliance and statutory reports.

Candidate Profile:

· Bachelor’s degree in human resources, Business Administration, or related field.

· 2–5 years of experience in HR & Admin, preferably in manpower/staffing industry.

· Knowledge of UAE labour laws and statutory compliance.

Job Type: Full-time

Pay: AED2,500.00 - AED3,500.00 per month
