Role Summary

The HR Assistant/Generalist will oversee the complete employee lifecycle, from sourcing talent to offboarding. The primary focus of this role is to maintain operational integrity through meticulous documentation and a rigorous hiring process. You will ensure that every staff member aligns with the company culture and that all internal procedures comply with UAE Labor Law.

Key Responsibilities

1. Strategic Recruitment & Hiring

  • Talent Sourcing: Identify and attract high-quality candidates for FOH, BOH, and Barista roles using various channels (LinkedIn, social media, and industry networks).
  • Candidate Assessment: Manage the "Trial Day" process, evaluating not just technical skills but also "cultural fit" and reliability.
  • Onboarding Excellence: Coordinate the transition for new hires, ensuring all training materials are provided and company expectations are clearly communicated.
  • Communication: Manage all applicant correspondence, including professional "regret letters" for those who do not pass the trial phase.

2. Comprehensive Documentation & Records

  • Digital & Physical Filing: Establish and maintain a secure filing system for all employee documents (Passport copies, Visas, Emirates IDs, and Health Certificates).
  • Database Management: Keep an accurate, real-time database of visa expiry dates, passport renewals, and labor card statuses to avoid any legal penalties.
  • Attendance & Leave Tracking: Maintain strict records of staff attendance, overtime, sick leaves, and annual leave balances.

3. Employee Relations & Payroll Support

  • Conflict Resolution: Act as a neutral point of contact for staff grievances, ensuring issues are resolved before they escalate.
  • Payroll Coordination: Compiling all reports related to payroll and submit to HR Executive for reviewing.

Candidate Requirements

  • Experience: Minimum 1 year in a dedicated HR role within the UAE (Hospitality or Retail sector preferred).
  • Expertise: Strong working knowledge of MOHRE regulations and UAE Labor Law.
  • Skills: Exceptional organizational skills with a "zero-mistake" approach to paperwork.
  • Language: Professional fluency in English; Arabic is a significant advantage for government-related documentation.
  • Character: A firm but fair personality with a high degree of integrity and the ability to handle sensitive information with total confidentiality.

Why this JD is effective for your current needs:

  • Focus on Documentation: It addresses the need for "proof" in all employee dealings, which is essential for handling legal or financial disputes.
  • Strict Hiring: It emphasizes "Trial Days" and "Cultural Fit," ensuring you hire people who respect the brand and their colleagues.
  • Risk Mitigation: By making this person a "Labor Law Expert," you reduce the chances of facing issues with the authorities or employees taking advantage of the business.
