Job Overview
We are seeking a hands-on HR Compliance & Payroll Operations Manager to strengthen
payroll oversight and HR operations across three related companies with 200+
employees. This role is ideal for a detail-oriented HR/payroll professional who can
balance strategy and execution while building structure, consistency, and accountability
across core people and payroll functions.
You will work closely with the current HR Manager to support accurate, compliant
payroll, strengthen HR processes, and help ensure key outcomes are met. Payroll is
processed bi-weekly through Paychex, and you will provide cross-checking, process
improvement, and quality assurance in a growing, multi-entity environment.
Duties
● Partner with the HR Manager to review and process bi-weekly payroll for 200+
employees across multiple entities.
● Audit payroll reports, deductions, garnishments, and tax withholdings to help
ensure accuracy and compliance.
● Coordinate with Paychex on payroll processing, filings, reporting, and issue
resolution.
● Support multi-state payroll and tax account setup and maintenance.
● Help ensure contractor compliance, including W-9s and certificates of insurance.
● Standardize and support onboarding and termination processes; maintain
accurate employee records.
● Oversee benefits-related payroll activity (health insurance, voluntary deductions,
employer/employee contributions).
● Maintain organized payroll and HR records to support audits, workers
compensation reviews, and financial reporting.
● Identify process gaps and recommend/implement sustainable improvements in
partnership with leadership.
● Assist in managing payroll providers and collaborate with accountants to help
ensure payroll-related practices align with GAAP and compliance expectations.
What Success Looks Like
● Payroll is consistently accurate with minimal corrections needed after processing.
● Tax filings, W-2s, and 1099s are completed accurately and on schedule.
● Contractor and employee documentation is complete, organized, and kept up to
date.
● HR processes (onboarding, terminations, documentation) are clear,
standardized, and followed across entities.
● The HR team is supported by clear processes, shared accountability, and a
collaborative working relationship.
Required Qualifications
● 5+ years of hands-on payroll experience in a multi-entity and/or multi-state
environment.
● 5+ years of experience with payroll systems (Paychex strongly preferred).
● Strong knowledge of payroll taxes, garnishments, and payroll compliance
requirements.
● Experience with benefits-related payroll deductions and reconciliations.
● High level of organization, accuracy, and documentation skills.
● Demonstrated ability to work collaboratively across teams while maintaining
accountability for results.
Preferred Qualifications
● Experience with contractor compliance (W-9s, COIs) and workers compensation
audits.
● Experience supporting HR processes such as onboarding, terminations, and
employee documentation.
● Experience in high-growth or multi-entity organizations.
