HR Coordinator - supports the multi-location full employee lifecycle for the organization, from pre-hire onboarding through offboarding. This role ensures seamless and compliant onboarding experience for field technicians and office staff, manages employee equipment coordination, badges, uniforms, MVR reporting, and provides administrative support to the HR function. The HR Coordinator plays a key role in delivering a professional new hire experience while maintaining accurate records and supporting operational readiness

WHAT HELIOS NEEDS FROM YOU:
Onboarding & Pre-Employment Coordination
- Manage communication with candidates from offer acceptance through first day of employment.
- Coordinate pre-employment requirements including background checks, drug screens, and Motor Vehicle Record (MVR) reporting.
- Prepare and distribute onboarding paperwork and ensure timely completion.
- Coordinate and schedule new hire orientation sessions.
- Ensure I-9 documentation is completed accurately and in compliance with federal requirements.
- Enter new hire information into HRIS and payroll systems.
Offboarding & Employee Changes
- Coordinate offboarding processes including separation documentation and system updates.
- Process status changes, transfers, and terminations in HRIS and other internal system.
Equipment & Field Readiness Support
- Order and track employee ID badges, uniforms, and other onboarding materials.
- Maintain tracking logs for badges, uniforms, and other applicable equipment issuance.
- Ensure new technicians are properly set up prior to deployment in the field.
MVR & Compliance Tracking
- Submit and monitor Motor Vehicle Record (MVR) checks for driving employees.
- Maintain MVR tracking logs and notify leadership of compliance issues.
- Support periodic re-checks and documentation retention.
HR Administrative Support
- Assist with internal audits, data reconciliation, and compliance reporting.
- Maintain spreadsheets and tracking tools for onboarding, compliance, and personnel changes.
- Support benefit enrollment logistics and employee communication as needed.
- Maintain personnel files in accordance with company standards.
- Provide ad hoc administrative support to HR leadership.
WHAT SETS YOU APART:
Education & Experience
- Associate's degree in Human Resources, Business Administration, or a related field preferred.
- 1–3 years of HR, administrative, or coordination experience preferred.
- Experience in a field-based, service, or construction environment strongly preferred.
- Proficiency in Microsoft Excel and ADP Workforce Now HRIS systems.

Helios HVAC/R Services LLC determines compensation based on the cost of labor across several US geographic markets. The base pay for this position ranges from $25-$27 hour. Pay is based on a number of factors including market location, job-related knowledge, skills, and experience.
