Role Overview

We are seeking a proactive and detail-oriented HR cum Event Operations Coordinator who will play a central role in the end-to-end execution of events, activations, and exhibitions. This person will be responsible for coordinating with internal departments, managing suppliers, and overseeing logistics, ensuring every aspect of the project runs smoothly — from planning and setup to execution and wrap-up. This is a 360-degree operations role that requires excellent organizational skills, strong communication abilities, and an in-depth understanding of how events work in Dubai, including dealing with local vendors, authorities, and regulatory bodies.

Key Responsibilities

Front Desk Duties: 5 %

  • Greet and welcome visitors, clients, and employees with warmth and professionalism.
  • Answer and route incoming phone calls and respond to general inquiries via phone or email.
  • Serve tea, coffee, and refreshments to clients and management as needed.
  • Guide visitors to meeting rooms or direct them to the appropriate person.
  • Maintain a neat and organized front desk area and monitor office appearance and cleanliness.
  • Schedule and manage meeting room bookings; ensure rooms are set up with necessary materials.
  • Place lunch orders and arrange transportation for staff or guests when required.

HR Assistant Support: 70%

  • *Send interview invitations and follow up with candidates as part of the hiring process.
  • *setup interviews and communicate with applicants on behalf of the HR department.
  • *Assist in preparing employee files, documentation, and organizing HR records.
  • *Support in managing employee insurance and benefits administration.
  • *Act as a point of contact for employee inquiries related to HR matters.
  • *Help in executing onboarding procedures for new hires.
  • *Coordinate internal HR communications and scheduling.

Events operations Support 35%

Supplier & Quotation Management

  • Source and liaise with reliable vendors and service providers relevant to event needs (e.g. technical, build-up, decor, F&B, logistics).

Request, compare, and prepare supplier quotations for internal review and approval.

  • Manage supplier onboarding including registration forms, documentation, contracts, and compliance.
  • Track and follow up on payments, delivery timelines, and contractual obligations.

_ Internal & External Communication_

  • Communicate effectively with external partners, vendors, venue managers, and government stakeholders.

Government Permits & Documentation

  • Liaise with relevant government authorities and venue partners for event-related approvals (e.g., DTCM permits, municipality clearance, health & safety).
  • Keep organized records of supplier contracts, quotations, delivery notes, insurance papers, and operational checklists.

Qualifications & Skills

  • Bachelor’s degree in Event Management, Business Administration, Hospitality, or a related field.
  • Minimum of 2+ years of experience in event operations , Human resource , preferably within Dubai’s event industry.
  • Deep understanding of Dubai event execution norms, regulations, venue protocols, and vendor ecosystems.
  • Strong organizational and time-management skills with the ability to handle multiple deadlines and priorities under pressure.
  • Tech-savvy: Proficiency in Microsoft Office (Excel, Word, Outlook) and familiarity with project management tools (e.g., Asana, Trello, Notion).
  • Excellent verbal and written communication skills in English (Arabic is a plus).
  • Solution-oriented mindset with the ability to proactively solve issues and adapt to changes quickly.
  • Ability to work flexible hours, including evenings, weekends, and on-site travel.
