Job Description (JD) for HR Officer
Position: HR Officer
Employment Type: Full-Time
Job Purpose:
The HR Officer will support the HR department in implementing HR policies and procedures, providing support to employees, and assisting in the recruitment and development of staff. This role will focus on maintaining a positive work environment, improving employee relations, and ensuring compliance with labor laws and company policies.
Key Responsibilities:
Recruitment and Onboarding:
- Assist with the recruitment process by posting job ads, reviewing resumes, and conducting initial screening interviews.
- Coordinate with department heads to determine staffing needs.
- Ensure smooth onboarding of new employees, including document preparation, inductions, and training.
Employee Relations:
- Act as a point of contact for employee inquiries and concerns regarding HR policies and procedures.
- Help mediate and resolve workplace conflicts in a timely and professional manner.
- Promote employee engagement initiatives and maintain a positive work culture.
Training and Development:
- Assist in identifying training needs within the organization.
- Help coordinate training programs, workshops, and seminars.
- Maintain records of employee development and performance management activities.
Payroll and Benefits Administration:
- Assist in payroll processing, ensuring timely and accurate salary disbursements.
- Administer employee benefits such as health insurance, retirement plans, and leave management.
- Ensure compliance with tax laws and company policies in compensation and benefits administration.
Compliance and Policy Implementation:
- Assist with the implementation of HR policies and procedures, ensuring compliance with local labor laws.
- Maintain up-to-date knowledge of labor regulations and organizational compliance requirements.
- Prepare and manage employee documentation (contracts, performance reviews, disciplinary actions).
Employee Records Management:
- Maintain accurate and up-to-date employee records, both paper and electronic.
- Handle confidential and sensitive information with discretion.
- Support the preparation of HR reports and documentation for audits.
Health, Safety, and Well-being:
- Promote health and safety initiatives within the workplace.
- Assist in maintaining a healthy and safe working environment by ensuring adherence to health and safety regulations.
- Support the organization’s wellness programs and initiatives.
Other Duties:
- Support HR projects and initiatives as required.
- Assist with the development and implementation of employee retention strategies.
- Ensure effective communication across departments to address HR-related matters.
Skills and Qualifications:
- Education: A bachelor’s degree in Human Resources, Business Administration, or a related field is required.
- Experience: At least 2 years of experience in a human resources role, with a focus on recruitment, employee relations, or benefits administration.
- Knowledge of HR Practices: Solid understanding of labor laws, HR policies, and industry best practices.
- Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint), HRIS systems, and payroll software.
- Communication Skills: Excellent written and verbal communication skills with the ability to interact effectively with employees at all levels.
- Problem-Solving: Strong interpersonal skills, including the ability to resolve conflicts and handle sensitive employee issues.
- Organizational Skills: Strong organizational skills with the ability to handle multiple tasks and prioritize effectively.
- Attention to Detail: High level of accuracy and attention to detail in all HR-related tasks.
- Confidentiality: Ability to maintain confidentiality and handle sensitive information with discretion.
Preferred Qualifications:
- HR certification is a plus.
- Experience with HR software
