H.R. Generalist/Employee Relations Specialist

Job Summary

Provides guidance and assistance to all employees regarding various Human Resources (H.R.) issues, including employee relations, benefits administration, and organizational compliance. Collaborates closely with the health insurance broker, RHF Benefits Service Provider, Legal Department, and other departments to ensure that H.R. policies, processes, and strategies align with company goals and comply with legal and regulatory requirements. Responsible for maintaining positive relationships and ensuring compliance with employment laws. Protects the interests of employees and the organization by adhering to company H.R. policies and procedures. Supports the Vice President of Human Resources. Confidentiality is critical.

Typical Duties and Responsibilities

35% Benefits (Medical, Dental, Vision, Life, Retirement, LTD, FSA, FMLA, etc.)

  • Provides benefit information to eligible corporate staff, Managers, and Regional Managers and assists in employee benefits programs.
  • Answers employees’ questions concerning benefits, refers to various resources for information as needed, and maintains up-to-date benefit records.
  • Assists with the health insurance open enrollment for all communities, including corporate staff:
  • Distributes information such as posters, memos, and other pertinent information.
  • Posts information on the H.R. Intranet, which includes the on-line information,
    benefit summaries, etc.
  • Maintains compliance with ACA guidelines and works closely with RHF Benefits Service.
  • Mails the voluntary supplemental life conversion form to terminated employees who had coverage.
  • Provides death claim form to beneficiaries and assists with the necessary process.
  • Reviews monthly discrepancy health insurance report from the Payroll Department and follows up with various communities as necessary.
  • Assists current and former employees with information regarding retirement benefits including necessary paperwork (cash distribution, loan form, etc.). Provides the form directly to the retirement provider to process for distribution. Works with the retirement provider to resolve issues. Maintains record of provided information.
  • Provides Beneficiary Form to all new employees and maintains the list and the file of received original forms.
  • Provides employees with enrollment information regarding the Flexible Spending Account (FSA).
  • Assists participating employees in submitting claims to insurance carriers and resolving issues.
  • Assists employees with FMLA, pregnancy leave, leave of absences, COBRA, etc.
  • Assists employees with health insurance premiums while they are out on a leave of absence and notifies RHF Benefits Service.

30% Administrative H.R. Duties/Personnel Files

  • Uploads personnel files for new corporate employees and Managers on H.R. Share Drive and UKG system.
  • Maintains current and former personnel files for corporate employees and Managers on H.R. systems (e.g., UKG) and generates reports for leadership.
  • Answers routine inquiries from outside the company on employment verifications.
  • Orders the required posters from our vendor when necessary for all communities to be in compliance with Wage & Hour regulations and state and federal laws.
  • Maintains the list of active key fobs with access information and provides key fobs and alarm key cards to new corporate employees.
  • Posts and maintains information on the H.R. Intranet and H.R. Share Drive.
  • Handles unemployment insurance claims and reports to supervisor on disputed claims.
  • Completes annual salary and benefit surveys when requested by President & CEO.
  • Answers incoming telephone calls in a professional manner and responds to e-mails promptly.
  • Oversees the onboarding and offboarding processes, ensuring a seamless experience for employees.

30% Employee Relations/Compliance

  • Conducts internal investigations related to workplace concerns, ensuring fairness, confidentiality, and compliance with applicable laws and company policies.
  • Partners with leadership to develop and implement strategies to improve employee satisfaction and retention.
  • Provides coaching and guidance to employees and Managers on conflict resolution, disciplinary actions, and performance improvement plans.
  • Collaborates with the Legal Department to ensure compliance with labor laws, regulatory requirements, and best practices.
  • Collaborates with the Operations Department and senior leadership to align H.R. initiatives with organizational objectives and enhance overall efficiency.
  • Partners with cross-functional teams to drive H.R. programs, including recruitment, onboarding, training, and professional development.
  • Assists in the development and execution of H.R. strategies that promote a culture of compliance, diversity, equity, and inclusion.
  • Develops, updates, and enforces H.R. policies and procedures to ensure compliance with federal, state, and local laws, including ADA, FMLA, Title VII, and other labor regulations.
  • Conducts regular audits of H.R. practices and records to ensure adherence to company policies and legal standards.
  • Provides training and updates to employees and Managers regarding H.R. policies and legal changes.
  • Continuously evaluates H.R. processes and recommends improvements to enhance efficiency, compliance, and employee engagement.
  • Leverages H.R. metrics to identify trends and develop strategies for addressing organizational challenges.

5% Service Award Pins

  • Tracks years of service with RHF for all corporate staff, Managers, and Regional Managers.
  • Maintains service award pin inventory and provides pins for the Annual Meeting.
  • Orders and provides the service award pins and watches to board members at various communities.
  • Assists communities when they need to order service award pins.

Education and Experience Required

  • Degree in Human Resources or a minimum of five (5) years’ experience in Human Resources, including employee relations, compliance, and benefits administration, including FMLA leave, pregnancy leave, etc.
  • UKG experience is beneficial. Strong understanding of employment laws, H.R. policies, and best practices. Familiarity with benefits administration and labor law compliance is required.
  • Excellent organizational, interpersonal, problem-solving, and communications skills with attention to detail and ability to deal effectively with a variety of people and situations.
  • Must possess good computer skills and must be able to communicate clearly and concisely, both orally and in writing. Must be able to manage multiple priorities.
  • Professional level of confidentiality in handling employee information.

Compensation:

Actual base salary considers several factors including but not limited to geography, job-related knowledge, experience, and budget. The start of the salary range is typically associated with the minimum experience required.

The role is considered Full Time non-exempt so will be eligible for overtime pay in accordance with federal and state law. The anticipated base pay range for the position is $36.06 - $48.08 per hour ($75,000- $100,000).
