Position Overview
The HR Intern will assist the Human Resources department in daily operational and administrative activities, with a strong focus on employee records, documentation, recruitment support, and HR coordination. This role is designed for fresh graduates who have completed their bachelor’s degree and wish to gain practical exposure to HR functions in a professional environment.
Key Responsibilities
1. Employee Records & Documentation
- Maintain, update, and organize employee personnel files—both digital and physical.
- Ensure completeness and accuracy of all employee records, contracts, and documentation.
- Assist in preparing employment letters, confirmation letters, experience letters, and other HR-related documents.
- Support in updating HR databases, spreadsheets, and record management systems.
2. Recruitment & Hiring Support
- Publish job postings across relevant platforms and job portals.
- Review and screen CVs according to job criteria and share shortlisted profiles with the HR team.
- Assist in coordinating interviews, including candidate scheduling, reminders, and room arrangements.
- Help prepare recruitment trackers, candidate evaluation forms, and interview documentation.
3. Orientation & Onboarding
- Prepare orientation material, welcome packets, and new employee documentation sets.
- Support HR team in conducting orientation sessions for new hires.
- Follow up with new employees to ensure timely submission of required documents.
4. Attendance & Leave Management Support
- Assist in collecting and reviewing attendance data from departments.
- Update leave and attendance records on a daily/weekly basis.
- Support in preparing monthly attendance summaries for payroll processing.
5. HR Operations & Administrative Tasks
- Perform administrative tasks such as scanning, printing, organizing files, and managing documentation flow.
- Assist in coordinating HR-related events, training sessions, staff meetings, and activities.
6. HR Compliance & Audit Support
- Help ensure all HR processes adhere to organizational policies and compliance requirements.
- Assist in internal audits of employee files, attendance sheets, and documentation accuracy.
7. Communication & Coordination
- Provide timely responses to basic employee inquiries.
- Act as a liaison between employees and HR for documentation, forms, and follow-ups.
8. Data Entry & Reporting
- Enter accurate data into HR systems and maintain updated spreadsheets.
- Support HR team in preparing basic HR reports, summaries, and analytics.
Required Qualifications
- Completed Bachelor’s Degree in Human Resources, Business Administration, Social Sciences, or a relevant field.
- Strong communication and interpersonal skills.
- Good command over MS Office (Excel, Word, PowerPoint).
- Ability to manage confidential information responsibly.
- Strong organizational skills and attention to detail.
- Willingness to learn and adapt.
