Timing: 7:00 AM – 3:45 PM
The HR Operations Assistant supports the HR Operations Manager in all daily HR and administrative functions.
This includes manual overtime calculation, gatepass management, travel coordination, recruitment assistance, and employee onboarding.
The role requires high accuracy, confidentiality, and strong coordination skills to support a busy shipyard environment.
Requirements
- Support preparation of employment contracts, onboarding files, and HR documents.
- Maintain employee data, attendance records, and update logs.
- Assist with onboarding activities and coordination with internal departments.
- Calculate overtime manually for blue-collar workers according to UAE Labour Law and company policy.
- Reconcile attendance sheets, shifts, and timekeeping reports.
- Ensure accuracy of OT hours before submitting to HR Manager & payroll team.
- Maintain monthly OT records and support audits when required.
- Process, track, and renew gatepasses for employees, visitors, contractors, and suppliers.
- Maintain a gatepass database with validity dates and compliance requirements.
- Coordinate closely with RAKEZ and shipyard security.
- Arrange flights, hotels, transport, and travel documentation.
- Coordinate travel for Sales Team during exhibitions and client visits.
- Prepare travel itineraries and ensure smooth communication throughout trips.
- Assist with scheduling interviews and communicating with shortlisted candidates.
- Maintain recruitment trackers and organize CVs.
- Assist in pre-screening tasks when needed.
- Handle daily HR emails, documentation, and coordination tasks.
- Prepare letters, memos, and support HR Manager in ongoing HR projects.
Coordinate invoice submissions for travel, visas, medicals, etc.
- Experience in HR administration or operations minimum of 3 years (UAE is a must).
- Strong numerical skills and ability to calculate overtime manually.
- Familiarity with timekeeping systems is an advantage.
- Excellent organization and multitasking skills.
- English fluency required; Arabic is a plus.
- Proficiency in Microsoft Excel & MS Office.
- Experience in industrial, engineering, or construction environments preferred.
