Job Summary
The HR Operations Supervisor is responsible for supervising the daily execution of HR operations activities, ensuring that HR services are delivered accurately, efficiently, and in compliance with company policies and applicable regulations. The role supports the HR Operations Manager/HR Director in monitoring HR processes, guiding the HR operations team, maintaining employee records, coordinating onboarding and offboarding activities, and preparing operational reports to support timely decision-making.
Main Duties and Responsibilities of the job
HR Process Coordination and Supervision:
• Supervise the day-to-day execution of HR operations processes and ensure tasks are completed accurately and within agreed timelines.
• Coordinate onboarding, offboarding, employee records management, employee status updates, and HR documentation activities.
• Monitor HR system data entry and employee database updates to ensure accuracy, completeness, and accessibility of information.
• Identify process gaps or delays and recommend practical improvements to enhance HR service delivery.
Compliance and Documentation:
• Ensure HR operational activities are carried out in line with labor laws, internal policies, and approved HR procedures.
• Review and verify HR documents, employee files, contracts, and operational records to maintain compliance and audit readiness.
• Escalate compliance-related issues, policy exceptions, or operational risks to the HR Operations Manager/HR Director for guidance and resolution.
• Support internal audits by preparing required documents, records, and evidence related to HR operations.
Employee Support and Relations:
• Act as a first point of contact for employees and managers regarding HR operations requests, policies, procedures, and service follow-ups.
• Support the resolution of routine HR operations issues and escalate complex employee matters to the appropriate HR authority.
• Enhance employee experience by ensuring timely responses, clear communication, and professional handling of HR requests.
HR Metrics and Reporting:
• Collect, validate, and update HR operations data related to employee movement, onboarding, offboarding, attendance, service requests, and process completion.
• Prepare regular operational reports and dashboards for management review.
• Monitor HR service performance indicators and highlight delays, trends, or recurring issues requiring management attention.
Team Supervision and Collaboration:
• Supervise and guide HR operations team members in daily tasks, priorities, and workload distribution.
• Provide support, coaching, and follow-up to ensure team performance and service quality.
• Coordinate with Talent Acquisition, Compensation and Benefits, Payroll, Government Relations, and other HR functions to ensure integrated HR service delivery.
• Support HR initiatives aimed at improving HR operations efficiency, employee experience, and internal service levels.
