Job Summary
The HR Manager (PMS Specialist) will lead the company’s Performance Management System (PMS), drive statutory compliance, create SOPs for all roles, handle payroll, and manage PF, ESI, and labour law compliance. The role ensures HR discipline, structured evaluation, employee development, and compliance accuracy across all units.
The candidate must be strong in 360° Appraisal Systems, KRAs/Competency Mapping, Statutory Compliance, and operational HR.
Key Roles & Responsibilities
1. Performance Management System (PMS) – 360° Specialist
- Design and manage the 360° Performance Appraisal System for all levels.
- Implement PMS cycles (monthly/quarterly/annual).
- Create KRAs, KPIs, and Competency Matrices for each role.
- Conduct appraisal meetings, feedback sessions, and performance review discussions.
- Identify training needs based on PMS results.
- Track performance improvement plans (PIPs).
2. SOP Creation & HR Process Structuring
- Develop and implement SOPs for every department and role.
- Standardize HR workflows such as onboarding, leave management, exit process, and disciplinary actions.
- Conduct audits to ensure SOP compliance across units.
3. Statutory Compliance Management
- Ensure 100% compliance with labour laws and jewellery industry regulations.
- Maintain and update statutory registers.
- Handle inspections, notices, and legal documentation.
- Ensure Shops & Establishment, Gratuity, Bonus, Maternity, and other statutory policies are followed.
4. Payroll Management
- End-to-end payroll processing for showroom and corporate staff.
- Salary structures, attendance reconciliation, overtime calculations.
- Ensure payroll accuracy, TDS & statutory deductions.
- Manage salary revisions, arrears, and incentive calculations.
5. PF & ESI Handling
- Complete management of PF and ESI portals.
- Employee registration, KYC, compliance submissions, challans, and monthly filings.
- Manage claims, withdrawals, transfers, and employee queries.
6. Employee Relations & Discipline
- Maintain strong employee engagement and conflict resolution.
- Manage grievances, counselling, and disciplinary actions.
- Promote a performance-driven, ethical work culture.
7. Recruitment & Onboarding Coordination
- Support hiring for key roles.
- Oversee joining formalities, document verification, and induction.
- Ensure manpower budgeting aligns with PMS and departmental requirements.
8. HR Documentation & MIS Reporting
- Maintain HR MIS (PMS dashboards, payroll summaries, compliance trackers).
- Generate monthly HR review reports for management.
- Maintain employee files, records, contracts, and digital HR data.
9. Training & Development
- Identify skill gaps through PMS insights.
- Plan L&D programs, behavioural training, product training, and compliance training.
- Measure training impact on performance.
Job Specification (JS)
Education
- Bachelor’s/Master’s degree in HR, Business Administration, or Management.
- Preferred: MBA HR / MSW HR.
- Additional certifications in PMS, HR Analytics, Labour Law, or Payroll are an advantage.
Experience
- 5 – 8 years of HR experience (mandatory experience in retail or jewellery industry preferred).
- Minimum 3 years in PMS / Appraisal System Management.
- Proven experience in PF, ESI, payroll, and statutory compliance.
Technical Skills
- Expertise in PMS, KRAs, KPIs, Competency Frameworks, and 360° reviews.
- Strong in PF, ESI, statutory returns, and labour compliance.
- Payroll software knowledge (OfficeKit, greytHR, Saral, Zoho, etc.).
- Excel (VLOOKUP, Pivot Tables), HRMS, and MIS reporting.
- Ability to draft SOPs & HR policies.
