Summary/Objective
The Project Specialist is a key member of our client service team, responsible for supporting backend operations, managing client communications, and ensuring follow-through on deliverables. This role supports 3–4 client accounts, with training and mentorship from Envision’s HR Strategists. A successful Project Specialist will gradually take on more direct ownership of workstreams and client relationships.
Examples of projects that the Project Specialist with assist with include:
- Preparation of HR standard operating procedures, employee handbooks, job descriptions, compensation assessments, engagement surveys, performance appraisals, and training materials;
- Assistance with full-cycle recruitment, benefits coordination, and leave of absence/accommodation administration; and
- Support in resolving employee relations issues.
Essential Functions
Client Account Support
- Maintain client records for assigned clients.
- Monitor communications, respond to routine inquiries, and escalate strategic or sensitive issues.
- Coordinate project logistics and maintain project plans (e.g. scope, timeline, milestones, and resources needed).
- Draft client-facing documents and deliverables under HR Strategist supervision.
- Schedule and prepare for client meetings, including drafting agendas, compiling materials, and distributing follow-up notes and action items.
- Track deliverables, deadlines, and open action items across all assigned client accounts, proactively following up to ensure timely completion.
- Prepare and update client-facing status reports, summaries, and presentation materials.
- Monitor client account health, identify opportunities to improve satisfaction, and flag potential concerns or scope changes to HR Strategists.
Internal Projects
- Support internal team activities and shared resource organization (e.g. team meetings, workshops, and Google Drive file management) as time allows.
Communication & Coordination
- Assist in creating and proofreading communications such as emails, newsletters, and announcements, maintaining consistency in tone, branding, and professionalism.

Travel
- Occasional local travel within Monterey County is required when client visits are needed or when attending community events
Required Education & Experience
- A minimum of 1 year of HR experience
- Familiarity with federal and state employment laws
- Strong written and verbal communication skills
- Proven ability to prioritize, manage shifting deadlines, and stay organized
- High attention to detail with the ability to proof own work
- Experience using project management or CRM tools
- Experience using at least one payroll platform or HRIS (e.g. Paylocity, BambooHR, Paycor)
- Proficiency in Google Suite and Microsoft Office
Preferred Education & Experience
- Exposure to multiple HR areas (e.g., onboarding, benefits, policies, compliance)
- College degree in HR, Business, Communications, or related field
- HRCI and/or SHRM certification
- Bilingual in English/Spanish
