Position Summary

The HR & Risk Management Specialist supports Journey House Behavioral Health RVA in maintaining a high-quality, compliant workforce and safe organizational environment. This role manages HR administrative functions, workforce compliance, and organizational risk-tracking systems in alignment with DBHDS, DMAS/Medicaid, and internal standards for behavioral health and substance use disorder (SUD) treatment programs.

This position assists with onboarding, personnel file management, quality improvement processes, internal incident reporting support, and compliance documentation to ensure the organization operates efficiently and adheres to regulatory requirements.

Essential Duties & Responsibilities:

Human Resources Administration

  • Support full employee lifecycle (posting roles, screening, onboarding, offboarding)
  • Maintain complete and audit-ready personnel files in compliance with DBHDS
  • Coordinate background checks, TB/physical documentation, CPR certification, state trainings, and licensure/credential tracking
  • Verify staff compliance with DMAS/Medicaid provider requirements for reimbursement
  • Assist with employee status changes, HR documentation, and file accuracy
  • Maintain confidentiality and secure handling of personnel records and data
  • Maintain HR communication, forms, templates, and internal resources

Credentialing & Training Compliance

  • Maintain and track staff licensure, certifications, CPR/AED, TB tests, and annual/DBHDS required trainings (including Relias or equivalent)
  • Monitor training expirations and provide reminders to staff
  • Assist with onboarding checklists, required credentials, and annual renewals
  • Maintain staff training matrix and compliance logs

Risk Management & Compliance

  • Assist in maintaining DBHDS-compliant safety and risk procedures
  • Monitor adherence to HIPAA, OSHA standards, and workplace safety requirements
  • Support internal quality audit processes (personnel, safety, compliance)
  • Maintain logs related to incident reporting and follow-up documentation
  • Assist with emergency preparedness planning and drills
  • Support organizational safety protocols in collaboration with leadership
  • Assist in policy updates, compliance reviews, and risk-reduction planning

QUALIFICATIONS:

Required

  • Experience in a behavioral health, substance use disorder, or healthcare setting
  • Strong administrative, organization, and communication skills
  • Ability to maintain strict confidentiality and ethical handling of sensitive information
  • Proficiency with Microsoft 365 (Teams, SharePoint, OneDrive) and file systems

Preferred

  • Working knowledge of DBHDS workforce standards and compliance expectations
  • Experience with Medicaid/DMAS regulations and credentialing workflows
  • SHRM-CP, PHR, or HR certificate preferred but not required
  • Experience auditing HR or compliance documentation

Work Environment & Physical Requirements

  • Hybrid work possible after onboarding (routine on-site presence required)
  • Standard office environment with regular computer use
  • Must maintain professional boundaries and follow HIPAA/confidentiality rules

Job Types: Part-time, Contract

Pay: $25.00 - $30.00 per hour

Expected hours: 20 – 30 per week
