Job Purpose:
To support the HR and administrative functions of the company by ensuring efficient day-to-day operations, accurate employee recordkeeping, and effective coordination between departments and stakeholders. The HR and Admin Assistant will serve as a vital support system for both employee services and office administration.
Key Responsibilities:Human Resources Support:
- Assist in recruitment activities including job posting, CV screening, interview coordination, and candidate follow-up.
- Maintain and update employee records, contracts, and personnel files in compliance with company policies and labor laws.
- Support onboarding and offboarding processes (orientation, exit interviews, clearance).
- Process employee leave, attendance, and absence tracking.
- Assist in preparing HR-related letters such as offer letters, salary certificates, NOCs, warnings, etc.
- Coordinate performance appraisal processes and employee surveys.
- Handle confidential HR matters with integrity and discretion.
Administrative Support:
- Maintain a professional and organized filing system (physical and digital).
- Coordinate meetings, bookings, and office events as needed.
- Provide administrative support to managers and departments (e.g., document preparation, logistics).
- Support company compliance and documentation for insurance, licenses, legal affairs, and renewals.
Qualifications & Skills:Education & Experience:
- Bachelor’s degree in HR, Business Administration, or a related field.
- 1–3 years of experience in a similar role is preferred.
- Knowledge of UAE labor laws and best HR practices is a plus.
Key Competencies:
- Strong organizational and time-management skills.
- Excellent verbal and written communication.
- Proficiency in MS Office (Word, Excel, Outlook) and HRIS systems.
- Ability to handle sensitive and confidential information with discretion.
- Proactive attitude and problem-solving capabilities.
KPIs & Success Metrics:
- Timely completion of HR documentation and administrative tasks.
- Accuracy in employee data and filing systems.
- Employee satisfaction with onboarding/offboarding processes.
- Office operational efficiency (e.g., supply availability, document renewals on time).
- Internal process improvement suggestions implemented.
