Job Description Summary
The HRIS Coordinator position collaborates with other departments within the Office of Human Resources. The primary focus of this position is on the overall maintenance, functionality and data integrity of the university’s Human Resources Information System (Banner), along with other systems utilized by the department and the University. Key responsibilities include ensuring accurate and timely processing of HR transactions and supporting the development of reporting and dashboard solutions for HR and university leadership to aid in compliance, strategic planning, and board reporting. Additionally, this role collaborates closely with the department’s Faculty Load and Compensation (FLAC) Liaisons to deliver faculty data analytics solutions.

This position is the backup for ad hoc and weekly reporting when the HRIS Manager is out of the office.
This position reports to the HRIS Manager.
Minimum Qualifications
  • Associate degree (min) or bachelor’s degree from an accredited college or University required; in Business Management, HR Management, Information Systems, or related field preferred.
  • 2-3 years of experience in HRIS administration, payroll, or related field.
  • 2-3 years of experience and strong knowledge of HR processes and procedures.
  • Advanced knowledge of the Microsoft Office suite (Word, PowerPoint, Visio);
    particularly Microsoft Excel; at least 2-3 years.
  • 1-2 years of demonstrated proficiency connecting business requirements, IT/HR solutions, and compliance with best-practice solutions.
  • 1-2 years of functional knowledge of HR (Compensation, Benefits, Talent Management, Payroll, Compliance, etc.).
  • 2-3 years of experience or knowledge of intranet and WordPress (or similar web content platform).
  • Analytical, critical thinking skills with the ability to identify and solve problems quickly with a variety of issues.
  • Investigative, curious, and creative approach to problem-solving.
  • Intrinsically Motivated: diligent, self-directed, with a great sense of urgency and initiative to seek solutions and/or make recommendations.
  • Extreme attention to detail while handling interruptions and competing priorities.

Preferred Qualifications
  • Some knowledge of SQL and/or experience with other database tools is a plus, but not required.
  • HRIS experience in higher education.
  • Familiarity with Banner and/or Banner’s FLAC.

Specific Duties
HRIS Responsibilities
  • Maintain and update employee data within the HRIS to ensure data accuracy and integrity. Collaborate with HR Departments, to Ensure the accuracy of both collected and reported data by implementing continuous process improvements. Perform regular data audits to identify and resolve discrepancies.
  • Ensure the integrity and cleanliness of employment data by identifying and correcting data entry errors. Implement and promote best practices for data management. Prior to initiating data clean-up efforts, provide recommendations for improved business practices to data champions or equivalent stakeholders.
  • Serve as one of the technical experts on Banner (HR Module) and all other systems used by the department to collect and store employment data, including but not limited to PeopleAdmin (ATS), Self-Service Portal, and Banner’s FLAC.
  • Coordinate any system updates/upgrades with OIT or vendors. Assist in ensuring timely communication, thorough testing, and smooth implementation of updates. Monitor post-implementation performance and troubleshoot issues as needed. Continuously explore integration strategies and process improvements to streamline data input/output and minimize duplication of effort.
  • Develop and update HRIS Standard Operating Procedures (SOPs) that define and document data terminology, data sources, and training aids for HRIS processes.
  • Provide troubleshooting assistance to departmental colleagues for HR-specific data and process issues. Escalate complex issues to the HRIS Manager, OIT, or Ellucian as appropriate.

Specific Duties
Faculty Load and Compensation (FLAC)
  • Maintain and update faculty assignments and compensation data within Banner. Analyze the data to identify discrepancies, errors, and potential issues related to faculty pay and workload. Generate semester reports to track faculty assignments. Ensure data accuracy and integrity within FLAC.
  • Collaborate with department liaisons, deans, department chairs, and other stakeholders to resolve FLAC-related issues. Provide training and support to faculty and staff on FLAC processes.
  • Identifying opportunities to improve the efficiency and effectiveness of FLAC processes. Developing and implementing new procedures to streamline workflows and reduce errors.


Reporting
  • Assist in the creation and update of reports in Cognos to provide employment data to various constituents in the organization and their specific data needs (i.e., WASC, IPEDS, etc.). Respond to report requests from the organization, ensuring the data is accurate and transmitted confidentially to the appropriate parties. Assist in developing standard reports for frequent use by various users and departments. Recommend and develop metrics to evaluate the cost, performance, and impact of employee programs and HR processes, and to measure the return on investment (ROI) of HR initiatives.
  • Run monthly on-boarding and off-boarding reports to ensure that new hires are properly set up, and separated employees are properly deactivated in all systems; collaborate with OIT, Payroll, Facilities, Benefits, hiring managers, and others to ensure smooth on-boarding/off-boarding. Serve as back up to the HRIS Manager on all reporting needs.

Data Auditing and Stewardship
  • Assist in establishing an audit review process to ensure compliance in the handling, storage, and transmission of sensitive employment data—both electronic and paper-based. Collaborate with the Information Security Officer to ensure data security practices align with GDPR, CCPA, and other applicable regulations. Conduct monthly, semester-based, and annual audits of employment data and personnel files to ensure full compliance with all applicable regulations. This includes verifying data sources, storage practices, and data purging procedures in accordance with state and federal requirements. Represents functional area(s) and system(s) in use by the University in terms of data.
  • Makes recommendation(s) on role-appropriate security, as well as audits access frequently for their respective system(s)
  • Accountable for timely, comprehensive, and complete testing of patches, upgrades, updates, and enhancements to the system(s) under their care.
  • Serves as a co-advisor to the data governance process, specifically the data champions (or equivalent).
  • Actively manages all written procedures, practices, and other documents related to the system(s) usage and data of said system(s).
  • Increases knowledge and functional expertise in the system(s) in which they operate. Implements recommendations(s) from data champions (or equivalent).
  • Acts as a change agent and leads respective functional areas in the proper implementation and usage of data standards and tools.
  • Report audit findings and make recommendations to the Director, Talent Management and Compensation and the HRIS Manager, for corrections and improvements to our processes.
  • Run semester-based reports specifically for adjuncts and student employees to ensure training requirements are met.

Web Content and HR Portal
  • Maintain all content updates for the department’s web pages and HR Portal, including creating and updating general content, as well as monitoring and tracking user activity. Collaborate with HR department leaders to obtain specific content for their areas and update as necessary.

  • Serve as a primary point of contact to send mass email communications to staff and faculty groups. Use discretion to determine if HR or University leadership review and/or approval is needed.
  • Approve Phone Book and Online Directory changes. Work with OIT and MARCOMM to ensure the Phone Book and Online Directory are up to date and that the appropriate transfer of data occurs between these departments.
  • Participate in committees and University groups focused on addressing data needs, challenges, and trends.
