Ballentine Partners is looking for an enthusiastic and highly organized Human Resource Administrative Assistant to join our HR team.


Responsibilities include:


HR Administration

  • Serve as the primary contact for basic HR inquiries and internal requests, escalating when necessary
  • Maintain employee and HR related files
  • Assist in coordinating employee training sessions, engagement activities, focus groups, and HR meetings
  • Draft and manage HR correspondence
  • Enter and manage all employee lifecycle changes in HRIS
  • Coordinate internal announcements and related gifts (engagement, wedding, baby, etc.)
  • Support performance review process
  • Generate standard HR reports as needed
  • Act as backup payroll processor

Onboarding Administration

  • Draft and manage onboarding including calendar coordination
  • Work with IT to ensure that equipment is shipped out and tracked
  • Coordinate new hire gifts

Recruiting Support (in coordination with the Recruiting Specialist)

  • Schedule interviews and coordinate availability with hiring teams
  • Help organize and track recruitment metrics and reports

Other duties as assigned


The right candidate will be someone who has the following skills:

  • At least 1 year of administrative or HR experience, preferably supporting multiple HR functions in a professional service or fast-paced corporate setting
  • Working knowledge of and experience with Rippling or other similar HRIS programs
  • Detail-oriented with a commitment to maintaining high-quality, error-free work
  • Strong organizational skills
  • Ability to prioritize tasks and handle multiple deadlines simultaneously
  • Strong written and verbal communication skills
  • Excellent interpersonal & relationship skills
  • Positive and collegial attitude
  • Strong ability for discretion and confidentiality in handling sensitive HR and payroll data.
  • Proficiency with Microsoft Office Suite
  • Team player
  • Ability to work in a highly collaborative environment
  • Eager to learn and open to feedback with a continuous improvement mindset.
  • Resourceful, solutions-oriented, and proactive in anticipating needs.
  • Can work both independently and in a team structure with a diverse group of people.

A bachelor’s degree with a minimum of 1 year of experience in a similar, fast-paced role handling highly confidential information is preferred.

Ballentine Partners compensation is made up of a base salary and performance bonus. The hourly rate for this role is between $24 and $30 per hour and is commensurate with experience. Performance bonuses are based upon company and personal performance and are paid out annually.

The pay range for this role is:

24 - 30 USD per hour(Rochester)
