A Hueman client is seeking a detail-oriented Human Resources Administrative Assistant to support their HR Operations by organizing and digitizing employee records.

Our client has started a journey to move from paper HR files to digital. As an HR Administrative Assistant, you will be responsible for reviewing employee files to separate active from terminated records, identifying and scanning required documents into the electronic filing system, and applying retention policies to properly dispose of terminated files and I-9s. The HR Admin Assistant will also be extracting training documentation for QA purposes. Prior experience in HR or file management, strong attention to detail, and a commitment to confidentiality are essential. This is a 4 month assignment.

1. Active Employee File Review

  • Audit all active employee files.
  • Identify and remove any file of terminated employees (to be audited as part of #2)
  • Cross-check each file against the approved document retention list.
  • Digitize and upload missing documents into Dynafile (electronic file mgmt. system).


2. Terminated Employee File Review

  • Review terminated employee files in accordance with the company’s retention policy.
  • Validate documents against the retention list.
  • Digitize and upload retained documents into Dynafile.


3. Job Description and CV Management

  • Upload job descriptions and CVs into Dynafile.
  • Apply appropriate categorization and index.


4. I-9 Form Compliance

  • Review I-9 forms for both active and terminated employees.
  • Ensure compliance with federal retention guidelines.


5. Quality Control Support

  • Assist with quality control of documents uploaded into Dynafile.
  • Ensure consistency indexing and file completeness


Required Skills

  • Experience with electronic document management systems

  • Ability to work independently and collaboratively
