The Human Resources Admin will be responsible for handling a wide range of administrative and HR support activities, including purchase order management, supplier coordination, and cost negotiation support. The role also plays a key part in executing the employee engagement calendar and ensuring the smooth operation of HR and Facilities-related activities while collaborating with multiple stakeholders across the organization.
Principal Accountabilities
- Maintain and update the contacts directory for all locations (Dubai, Abu Dhabi, Fujairah, Umm Al Quwain, and Al Ain).
- Coordinate courier services and manage dispatch of mail from Head Office to all locations.
- Support engagement initiatives and manage project materials in line with project timelines.
- Arrange employee annual leave and business travel in coordination with travel agencies; manage SAP purchase orders from creation to invoice submission.
- Manage and maintain the petty cash fund.
- Procure office supplies, forms, and pantry items for all UAE locations on a monthly basis.
- Review, analyze, and process monthly bills (Etisalat, DU, utilities, courier, and other contracted services).
- Analyze mobile usage reports, calculate deductions, and share billing details with employees.
- Support HR initiatives aimed at fostering a positive and engaging work environment, including events, celebrations, and engagement activities.
- Build and maintain strong relationships with suppliers and contractors; ensure timely service delivery through regular follow-ups.
- Negotiate and manage annual contracts for services such as file storage, manpower, maintenance, waste management, and water supply.
- Support internal communication initiatives and campaigns.
- Source suppliers and conduct quality checks for uniforms for frontline employees (sales and logistics).
- Identify challenges, recommend improvements, and propose effective solutions.
