About the Role

We are seeking a highly organized, proactive, and detail-oriented HR Administrator to support our growing, fully remote team. This role is ideal for someone who thrives in a structured environment, takes ownership of their work, communicates clearly, and consistently follows through.

The HR Administrator will play a critical role in supporting day-to-day HR operations, employee lifecycle processes, compliance, and internal coordination. Candidates with prior bookkeeping or accounting experience are strongly preferred, as this role will also support payroll-related processes, reconciliations, and administrative reporting.

Key Responsibilities

Human Resources Administration

  • Support the full employee lifecycle: onboarding, offboarding, personnel file maintenance, and documentation
  • Coordinate new hire paperwork, federal and state forms, benefits enrollment, and policy acknowledgments
  • Maintain accurate and compliant personnel records (digital files) and audit for completeness
  • Draft and format HR communications, memos, templates, and policy-related documents in a clear, professional tone
  • Support benefits administration and employee inquiries (escalating appropriately when needed)
  • Track employee time-off balances, sick leave, and related reporting
  • Assist with training coordination, compliance deadlines, and required certifications
  • Support HR audits and compliance tracking across required notices and documentation
  • Serve as a reliable point of contact for internal HR-related questions and routing

HRIS / Systems & Process Support

  • Manage and maintain the HRIS platform (data entry, updates, auditing, and reporting)
  • Ensure employee records are accurate across systems (job titles, compensation data, work location, manager assignments, etc.)
  • Support platform workflows related to onboarding, offboarding, time off, and acknowledgments
  • Maintain trackers and workflows to ensure deadlines and processes are consistently met
  • Identify opportunities to improve systems, templates, and internal processes

Performance & Annual Review Support

  • Assist with annual review cycles and performance documentation, including:
  • Scheduling review timelines and reminders
  • Preparing templates and documents
  • Tracking completion and collecting acknowledgments
  • Supporting managers with logistics and follow-up
  • Maintain organized review files and ensure proper documentation and retention

Payroll & Administrative Support

  • Support payroll preparation, data review, and reconciliation
  • Assist with timekeeping review and payroll audits
  • Coordinate with accounting or external partners as needed
  • Support expense tracking, reimbursements, and basic reporting
  • Leverage prior bookkeeping or accounting experience to ensure accuracy and consistency

Preferred Qualifications

  • 3+ years of experience in HR administration, operations, or coordination
  • Prior bookkeeping, payroll, or accounting experience (strongly preferred)
  • Experience managing or supporting an HRIS platform (preferred)
  • Experience working in a fully remote environment
  • Familiarity with payroll/timekeeping systems and HR documentation best practices
  • Knowledge of multi-state and California employment compliance is a plus
  • Proficient in Google Workspace, Slack, Excel

Pay: $28.00 - $32.00 per hour

Expected hours: No less than 40.0 per week
