ABOUT THIS POSITION


The Human Resources Department Records Team (TRL-Transactions/Records/Leave) is seeking to fill a vacancy for a Human Resources Aide. This position will be responsible for supporting, reviewing, and processing personnel transactions for citywide departments.

Responsibilities include and are not limited to:

  • Maintain records for all city employees.
  • Review off cycle paycheck requests for separating employees.
  • Answer phone and email inquiries; assist occasional walk-in customers.
  • Utilize HRIS system to research and resolve inquiries.
  • Perform arithmetic such as addition, subtraction, multiplication, and division.
  • Audit and track I-9 documentation for compliance.
  • Read, interpret, and explain citywide policies.
  • Review written material for completeness and accuracy to ensure adherence to human resources guidelines.

IDEAL CANDIDATE


The ability to:

  • Communicate with customers, clients, or the public in person or by telephone.
  • Compose written documents with clearly organized thoughts and proper sentence construction, punctuation, and grammar.
  • Work cooperatively with others.
  • Work under pressure to meet tight time schedules and deadlines, and handle significant problems and tasks which come up simultaneously or unexpectedly.
  • Comprehend and make inferences from material written in the English language.
  • Exercise sound judgment and establish priorities for own workload.
  • Learn job-related material primarily through oral instruction and observation. This learning takes place mainly in an on-the-job training setting.
  • Maintain confidentiality of personnel information.
  • Move objects weighing up to 50 pounds short and long distances.
  • Remain in a sitting position for extended periods of time.

SALARY


Pay Range: $20.51 to $36.84 per hour.

Hiring Range: $20.51 to $33.41 per hour.

Pay Range Explanation:

  • Pay range is the entire compensation range for the position classification.
  • Hiring range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity.

Internal Only: Please understand that this is pay grade 745. If selected, your salary offer will be based on the applicable promotion or demotion worksheet in accordance with the City Pay Ordinance.

  • Promotions occur when the last two digits of the pay grade increase.
  • Demotions occur when the last two digits of the pay grade decrease.
  • Lateral transfers occur when there is no change to the last two digits of the pay grade.
  • When there is a change in the first digit of the pay grade, there may also be a change to your classification or unit.

MINIMUM QUALIFICATIONS

  • Two years of college majoring in public or human resources administration, industrial relations, psychology, or a related field.
  • One year of experience as a human resources or administrative clerk.
  • Other combinations of experience and education that meet the minimum requirements may be substituted.

PREFERRED QUALIFICATIONS


The minimum qualifications listed above, plus:

  • Experience with personnel transactions process.
  • Experience with HR administrative responsibilities including using human resources management systems.
  • Experience with proofing, auditing and analysis.
  • Some experience with payroll and leave.
  • Some experience interpreting and explaining HR policies and protocol.
  • Some experience maintaining a records system.
