Human Resources Assistant

Role Summary

The HR Assistant provides day-to-day administrative support to the team. You’ll keep HR operations running smoothly—handling onboarding/offboarding logistics, maintaining records, coordinating training, assisting with benefits administration, scheduling, and responding to employee questions with speed and care.

What You’ll Do

Onboarding & Offboarding

  • Prepare offer packets and new-hire documents (background checks, I-9/E-Verify, tax forms, policies, handbooks).
  • Track and collect acknowledgments; maintain accurate employee files.
  • Run offboarding checklists: exit scheduling, final paperwork, asset return coordination, systems access removal; support COBRA/benefits handoff.

HR Administration & Records

  • Maintain personnel files.
  • Update HRIS with hires, terminations, job changes, pay updates, and org charts.
  • Monitor shared HR inbox; triage and resolve routine questions (PTO, policies, payroll timing) and escalate as needed.
  • Prepare routine HR reports (headcount, PTO balances, turnover, training completion, open reqs).

Policies, Documents & Compliance

  • Format and proof policies, SOPs, and employee communications; track acknowledgments.
  • Maintain templates (offer letters, change notices, disciplinary forms); ensure version control.
  • Assist with compliance tasks (posters, required notices, EEO/ACA data pulls, audits).

Training Administration

  • Schedule and track required trainings (e.g., harassment prevention, safety, workplace violence, role specific).
  • Maintain training rosters, upload completions, send reminders, and report compliance status.

Scheduling & Communications

  • Manage calendars for HR/People team.
  • Draft and send HR announcements.
  • Coordinate emails, Zoom links, meeting notes, and agendas.

Benefits Support

  • Assist with enrollments/changes/terminations in the benefits platform; answer routine benefits questions and escalate complex cases to the broker/HR lead.
  • Track qualifying life events and deadlines; help with open enrollment logistics and communications.
  • Reconcile enrollments vs. payroll deductionsl.

Payroll & Timekeeping (Support)

  • Timesheet corrections and approvals; verify PTO balances/requests align with policy.
  • Prepare change forms for payroll (new hires, rate changes, deductions).

What You’ll Bring

  • 1–3 years in HR/People operations, recruiting coordination, or administrative support (startup or multi-site experience a plus).
  • Working knowledge of HR basics (onboarding documentation, I-9, personnel file practices, confidentiality).
  • Comfort with benefits terms (medical, dental, vision, FSA/HSA, COBRA) and training compliance tracking.
  • Strong organization, follow-through, and attention to detail; able to juggle multiple deadlines.
  • Clear, professional communication—written and verbal—with a service mindset.
  • Discretion with sensitive information and a high standard of integrity.

Tools You’ll Use

  • HRIS/Payroll Systems (e.g., Bob/HiBob, Paychex, Paylocity, Gusto).
  • Benefits admin portals and broker platforms.
  • Google Workspace/Microsoft 365; e-signature tools (e.g., DocuSign); calendar/Zoom; basic spreadsheets.

Work Environment & Physical Requirements

  • Prolonged periods at a computer.
  • May require occasional early/after-hours support for interviews or orientation across time zones.
