Job Overview:

The HR Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department.

Responsibilities Include, but are not limited to the following:

Key Responsibilities and Essential Tasks

  • Facilitate the new hire process: schedule new hire orientations, guide new hires through the onboarding process, answer questions and explain new hire documentation requirements.
  • Import new hire data from ICIMS to AX and verify imported information for accuracy
  • Assist with explaining benefit information to new hires.
  • Maintains human resources records by recording new hires, transfers, terminations, changes in job classifications, and compensation adjustments.
  • Maintain employee personnel information in HRIS system: update address and personal contact information, W2 information, compensation adjustments and other payroll related information.
  • Assist with the preparation of the review process. Send out employee performance reviews, track received, and completion.
  • Manage the DMV pull program. Enter employee information into DMV website, delete inactive employee information.
  • Perform periodic audits of HR files and records to ensure that all required documents are collected, filed, and archived appropriately.
  • Process termination paperwork and file termination reports with applicable state agencies.
  • Manage the employee pull program Drive list.
  • Respond to incoming telephone calls related to absentee recording and reporting.
  • Enter employee new hire and temp worker information into Manpower and AX.
  • Enter new project information into EEDB and AX.
  • Create Local 99 report and send to appropriate agencies.
  • Send out WECA class schedule to project teams.
  • Assist with the distribution of employee recognition rewards, birthday lists, and anniversary rewards.
  • Maintain corporate break room cleaning schedule.
  • Distribute employee review documentation and enter performance review information into AX.
  • Update, create, and distribute employment poster pack information.
  • Plan company meetings.
  • Provide administrative support to Human Resource Staff as assigned.
  • All other duties as assigned.

Compensation:

Rex Moore pays hourly/salary rates commensurate with each employee’s knowledge, experience and skill level.

Work environment:

Work is performed in an office environment. This position may be required to travel to other office locations.

Rex Moore and affiliated offices are located throughout California and Nevada.

Knowledge, Skills and Abilities

  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.

EDUCATION:

  • High school diploma and at least two years’ experience working in an administrative role or
  • Associate’s degree in related field
  • Office experience preferred.

Physical Requirements:

  • Ability to verbally communicate: convey detailed and accurate instructions and information.
  • Ability to hear with or without correction in order to receive and interpret detailed information.
  • Required to sit at a desk work station for long periods of time.
  • Push, pull, lift, carry at least 10 pounds and occasionally lift/move up to 35 pounds.
  • Occasionally required to walk and stand for short and long periods of time.
  • Required to have visual acuity with or without correction in order to read contract documents, analyze data, view a computer monitor, and proof-read documents to identify errors.
  • Required to use fingers and hands: type using a computer keyboard, handle, feel, and reach.
  • May occasionally be required to stoop, kneel, and crouch.
