JOB SUMMARY

The HR Assistant provides administrative and operational support to the Human Resources department. This role supports HR functions including employee records management, onboarding, audits, training coordination, and general administrative tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties as assigned.

  • Maintains and updates employee information in the HRIS system.
  • Files, organizes, and maintains personnel files; scans older files into HRIS system.
  • Responds to general inquiries and provides information to authorized parties.
  • Prepares exit letters, wage letters, and other HR documentation for HR Manager approval.
  • Assists with sending new hire onboarding packets.
  • Provides audit support and backup assistance to HR and payroll functions.
  • Distributes HR mail and processes returned USPS mail; assists with departmental mailings.
  • Creates and manages employee badges for building access.
  • Supports company events such as Annual Service Awards, Flu Clinics, and seasonal initiatives.
  • Maintains and orders departmental office supplies.
  • Supporting recruitment through the ATS, assisting with new hire gifts and onboarding support.
  • Prepares and submits quarterly census reports.
  • Supports the Learning and Development team as a training coordinator and assists with basic training tasks.
Requirements:

EDUCATION/EXPERIENCE:

  • High school diploma required, Associate's degree required, Bachelor's degree preferred.
  • 1-2 years' related experience in human resources or related office/administrative work.
  • HR certifications (HRCI or SHRM) a plus
  • ADP Workforce Now (WFN) experience is a plus.

SKILLS AND REQUIREMENTS:

  • To perform the position, you must be a U.S. Person as defined by ITAR. ITAR defines a US Person as a US Citizen, US Permanent Resident (I.e., 'Green Card Holder'), Political Asylee, or Refugee.
  • Must be able to report to assigned office location during scheduled in-office workdays.
  • To perform this job successfully, an individual should have working knowledge of Microsoft 365.
  • Strong customer service, detail oriented and clerical skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality.

PHYSICAL REQUIREMENTS:

While performing the duties of this job the employee is often required to stand, sit, use computers, read, write, type, use copy machines, file paperwork, use telephones, and utilize written and oral communication to interact with clients, co-workers, and customers. Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Substantial movements (motions) of the wrists, hands, and/or fingers (paperwork, typing, using mouse/keyboard). The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.

WORKING CONDITIONS:

Position is not substantially exposed to adverse environmental conditions (such as in typical office or administrative work.)

Compensation: $20/hr-$22/hr. The salary range listed reflects the anticipated base pay for this position. Actual compensation will be determined based on relevant education, experience, and qualifications.
