All KANA positions are based in Kodiak and are not eligible for remote work. Applicants must reside in Kodiak or be willing to relocate.


KANA’s standard work schedule is 37.5 working hours per week, typically consisting of 7.5 paid working hours per day plus a one-hour unpaid lunch break (total of 8.5 hours on site per day).


Provides professional administrative support to the Human Resources (HR) department.


Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Supports the organization’s mission and goals and quality standards. Incorporates KANA’s core values of Courtesy, Caring, Respect, Sharing, and Pride in all activities and decisions.
  • Upholds KANA’s Code of Ethics by conducting professional activities with honesty, integrity, respect, fairness, and good faith in a manner that reflects positively upon the organization.
  • Maintains employee files, including the requirement to track training, certifications and licensures. Performs internal department audits; assists in preparation of external department audits.
  • Maintains Human Resource Information System (HRIS), enter data accurately and timely; provides assistance to new and existing users to access and use HRIS modules.
  • Assists in the recruiting, interviewing, and processing of candidates to fill vacant positions.
  • Assists with outbound recruitment efforts, including job outreach, candidate sourcing, and promotion of employment opportunities through various recruitment channels.
  • Coordinates travel arrangements for candidate site visits, and provides travelers with itineraries, confirmation codes, and other information necessary for travel.
  • Assists in processing new employees by completing reference checks, scheduling drug screening, processing criminal background checks, and preparing new hire packets.
  • Processes background checks for employees, volunteers, interns, and Board Members through the State of Alaska system. Supports facility access by assigning access permissions and issuing identification badges.
  • Plans and prepares new employee onboarding, KANA Connection, All Staff Meeting and other staff recognition events. Prepares personnel transactions such as hires, promotions, transfers, performance reviews, and separations.
  • Assists in the administration of KANA's Drug and Alcohol-Free program to include new hire drug screening, random referrals, for-cause, village screenings, board member screenings, result inquiries and billing.
  • Assists in the coordination and scheduling of employee training and development opportunities. Compiles data and assists in preparation of salary studies.
  • Assists with or redirect inquiries regarding policies, procedures, and programs.
  • Assists in the development and maintenance of HR policies, job descriptions, staff directories, and other related documents.
  • Assists the Human Resources Director and/or other departments with special projects as assigned.
  • Prepares employee separation notices and related documentation; schedules exit interviews.
  • Establishes effective interpersonal relationships with staff, management, customers, and visitors; promotes an atmosphere that encourages enthusiasm and staff participation in customer service, quality improvement, and stewardship initiatives.
  • Maintains knowledge of legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting are in compliance.
  • Ensures HR records are accurate, complete, audit ready, and maintained in compliance with record retention requirements and confidentiality standards.
  • Works under close to moderate supervision; escalates complex employee relations and compliance issues to HR Manager.
  • Support other HR roles and act as back-up to other HR positions as necessary. Other duties as assigned.

Supervisory Responsibilities This job has no supervisory responsibilities.


Requirements

High school diploma or equivalent required, Associates Degree preferred. Experience working in an office setting, one-year experience working in a healthcare office preferred. Excellent customer service, organizational skills, attention to detail, problem solving skills, technical skills, and ability to multitask with a positive attitude in a fast-paced environment required. Effective interpersonal skills as well as effective writing, speaking and reading comprehensive skills; savvy with use of technology including MS Office.


Certificates, Licenses, Registrations

Current SHRM-CP or SCP certification or ability to obtain within two (2) years.
