UW Medicine Human Resources - Employee Relations has an outstanding opportunity for a Human Resources Assistant to join their team!

About this Opportunity

The Human Resources Consultant Assistant 2 (HRCA 2) will report to the Assistant Director of Human Resources and will be located at the UW Medical Center – Montlake location. Under general supervision, the HRCA2 Front Desk Associate performs specialized clerical tasks in support of the UW Medicine Human Resources Team.

This team is responsible for a broad range of human resource related issues including employee relations, labor relations, and leaves of absence. These tasks will include front line public relations support for UW Medicine Human Resources, preparation of correspondence, word processing documents, reports, etc., preparation of customer service tools and materials, and other assigned clerical duties. This position utilizes independent judgment in interpreting and applying internal HR rules and policies.

Key Responsibilities

  • Coordinates the Service Awards program for UW Medicine Human Resources (inclusive of Harborview Medical Center, UWMC-Montlake, UWMC- NW, The UW Medicine Contact Center, FPPS, Airlift NW and UWM Primary Care Clinics). Programmatic responsibilities include the verification of anniversary dates, awardee/departmental communication, ordering, reconciliation, award distribution, and event support.
  • Coordinates the Shared Leave Program for UW Medicine. Receiving, evaluating, and processing employee shared leave requests. Coordinates and distributes PFML approvals, as needed, in partnership with Leave Specialists as needed.
  • Perform reception duties, responding to customers. Respond to client/employee questions and requests for information and assist clients with applicant referrals. Respond to client/public inquiries regarding a broad range of Human Resources topics. Provide troubleshooting and/or research, elicit sufficient information for problem resolution, and ensure follow up response.
  • Serves as I-9 coordinator, facilitating completion of Section 2 of the I-9 process for UW Medicine employees as needed Coordinates
  • Coordinates and manages the UW Annual Attendance Incentive Program and UW Medicine Unemployment Claims
  • Prepare word processing documents, reports, correspondence, computer reports, emails, personnel document filing, database entry, and record maintenance in support of the Service Teams. Orders office supplies.
  • Respond to email and voice mail regularly throughout the workday. In the absence of staff, check incoming mail and messages, and handle or refer items as appropriate. Respond to client calls as requested by the Human Resources staff.

Required Qualifications

Minimum Qualifications

Four years of office experience including two years of increasingly responsible experience in a human resource or related setting OR equivalent education/experience.

Additional Qualifications

  • Exceptionally strong customer service skills.
  • Prompt and regular attendance.
  • Knowledge of general office procedure and protocol.
  • Proficient computer knowledge (i.e. word processing, spreadsheet and database software, and PowerPoint).
  • Demonstrated effective verbal and written communication skills.
  • Experience exercising a high level of confidentiality and disseminating sensitive information.

Compensation, Benefits and Position Details

Pay Range Minimum:

$48,480.00 annual

Pay Range Maximum:

$65,100.00 annual
