HR Assistant

Position Summary

Alliance Mobile is seeking a highly organized, people-focused, and detail-oriented HR Assistant to support our growing Human Resources team. This role plays a critical part in maintaining smooth HR operations by handling foundational administrative, communication, onboarding, and employee support functions across the organization.

The HR Assistant will help create an exceptional employee experience while supporting the HR and Recruiting team by managing daily operational responsibilities, employee communications, and HR coordination tasks. The ideal candidate thrives in a fast-paced environment, communicates professionally, and has a passion for supporting people and processes.

Core ResponsibilitiesHR Communications

·        Send standard HR communications including:

o  COS/termination emails

o  New hire communications

o  UID Ready and Blacklisted notices

o  Letters of Separation

o  Time review emails

o  Orientation call emails

o  Headshot audit notifications

·        Maintain and distribute updated store lists and market/district leadership changes

·        Communicate dual Store Manager updates to the Commissions team

·        Coordinate with Staff Support on shared communications, trackers, and spreadsheets


Onboarding & Offboarding Support

·        Support onboarding administrative tasks for new hires

·        Add new hires and terminated employees to yearly HR tracking checklists

·        Assist with onboarding paperwork distribution and completion tracking

·        Support offboarding administrative processes as directed

·        Help ensure a smooth and positive transition experience for employees entering or exiting the company


New Hire Orientation Support

·        Assist in managing orientation call rosters and scheduling

·        Help maintain and update orientation call content and materials

·        Send orientation invites, reminders, and follow-up communications to new hires

·        Support a welcoming and engaging onboarding experience


Employee Recognition Program

·        Pull UKG reports to identify upcoming birthdays and work anniversaries

·        Publicize birthdays and celebrations through workplace communication platforms

·        Manage DoorDash birthday budget distributions

·        Track and recognize employee milestones including 1, 3, 5, and 10-year anniversaries

·        Coordinate milestone gifts and employee appreciation initiatives


Administrative & Office Duties

·        Answer office phone calls and maintain office extension lists

·        Greet guests and monitor front office activity

·        Manage office supply and operational orders through vendors such as Amazon and Regency

·        Coordinate flower and gift orders as requested

·        Submit IT tickets related to:

o  Rehires

o  Email changes

o  Authentication issues

o  Device concerns

·        Assist with headshot compliance audits

·        Conduct shirt size audits for marketing initiatives as needed


Employee Support

·        Resolve incoming HR Zendesk tickets in a timely and professional manner

·        Direct employees to the appropriate department when necessary

·        Provide employee support and assist with concerns when HR leadership is unavailable

·        Help maintain a positive and supportive employee experience


Reporting & Auditing Support

·        Update commissionable dates in Alliance systems for employees

·        Assist with store closure updates across company systems

·        Support HR audit projects and reporting tasks as directed

·        Help maintain accurate employee records and HR data integrity


Qualifications

·        Previous administrative, office, HR, or customer service experience preferred

·        Strong organizational skills and attention to detail

·        Excellent written and verbal communication skills

·        Ability to handle confidential information professionally

·        Comfortable working in a fast-paced and evolving environment

·        Proficient in Microsoft Office, Google Workspace, and spreadsheet management

·        Experience with HRIS systems, Zendesk, UKG, or workforce management systems is a plus

·        Positive attitude with a team-first mindset

·        Bachelors Degree or working towards completing degree


Position Type

Full-Time 40 hours weekly

Salary: $48,000- $50,000 annually based on experience

401k: Eligible to enroll after 90 days with Alliance Mobile with a company match

PTO: Eligible for PTO accrued at the Corporate Benefit level
