Position Summary:

The Human Resource Associate will support the daily functions of the Human Resources department, including onboarding, payroll administration, compliance, employee relations, and recordkeeping. This role ensures all HR processes are accurate, timely, and compliant with federal and state employment laws. The ideal candidate is detail-oriented, organized, and bilingual (English/Spanish preferred).

Key Responsibilities:

Onboarding & New Hire Administration

  • Coordinate new hire paperwork including I-9, W-4, G-4, Direct Deposit Form, NDA, and Employee Handbook acknowledgment.
  • Manage the E-Verify process to ensure employment eligibility compliance.
  • Update and maintain employee handbooks and company policies (e.g., Vacation Policy, Harassment and Discrimination, Attendance Policy, Code of Conduct).
  • Ensure all employees have signed offer letters and accurate job descriptions in preparation for audits.

Payroll & Timekeeping

  • Add new hires to the ADP timeclock and payroll systems.
  • Review and balance all employee time punches weekly to ensure accurate bi-weekly payroll processing.

Employee Relations & Recordkeeping

  • Maintain and organize all employee personnel files and documentation.
  • Prepare and track disciplinary notices and performance documentation.
  • Assist with Workers’ Compensation cases, ensuring timely communication and documentation.
  • Handle Department of Labor separation notices and unemployment claims.

Compliance & Policy Management

  • Support the implementation and maintenance of HR policies and procedures in compliance with labor laws.
  • Assist with audits, ensuring all employee files and records are accurate and up to date.

Qualifications:

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field (or equivalent experience).
  • 1–3 years of HR experience preferred.
  • Working knowledge of employment laws and HR best practices.
  • Experience with HRIS/Payroll systems (ADP preferred).
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal and communication skills.
  • Bilingual in English and Spanish strongly preferred.
