Overall objective/purpose statement: Under the direct supervision of the Branch Manager, this position provides administrative support for the HR Director by implementing administrative systems, procedures, and policies, and monitoring administrative projects. In addition to typing, filing and scheduling, performs duties such as coordination of meetings and interviews, obtaining supplies, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Independent judgment is required to plan, prioritize and organize diversified workload.
Duties
- Participates in the recruitment process by responding to applicants, maintaining information in Applicant Tracking System, scheduling interviews and communicating between applicant and interviewers.
- Follows up on recruitment leads, providing information and suggesting new opportunities to obtain candidates
- Maintains employee records, updating as needed by collecting information; maintains employee database and HRIS system.
- Assists in onboarding process by scheduling orientation classes with new hires, collects new hire data, sends new hire packet, verifies completion of onboarding tasks.
- Completes new hire tasks within HRIS system as assigned; verifies candidate’s background by contacting references and/or conducting background checks; verifies completion of all forms.
- Assists with maintaining compliance by monitoring employee records for completeness.
- Sends forms or requests for missing information and inputs data as needed.
- Generates reports for required certifications, communicates due dates to employees, verifies completion of renewals.
- Assists with scheduling required training dates for employees ensuring training is completed on time.
- Participates in employee recognition process by recommending staff for recognition, assigning, or delivering awards.
- Sends communications to staff regarding Human Resources updates, initiatives or policy changes as directed.
- Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
- Provides secretarial support by entering, formatting, and printing information; organizing work; answering the telephone; relaying messages; maintaining equipment and supplies.
- Protects organization's value by keeping information confidential.
- Takes on additional special projects as directed by the Branch Manager
Skills & Competencies
Strong computer, communication, interpersonal and organizational skills are required, as is sensitivity to confidential matters. Administrative writing skills, Microsoft Office, Excel, research and reporting, as well as data entry skills are also required. Attention to detail, professionalism, problem solving, thoroughness, dependability, independence, time management and teamwork are also essential.
Relationships
Reports directly to and is supervised by the Branch Manager. This position does not supervise any positions.
Pay: $23.00 - $27.00 per hour
