The Human Resources Coordinator will support with HR functions of Creative Minds ADP Inc., ensuring smooth operations across recruitment, onboarding, performance management, reporting, and compliance. This role will provide essential administrative and logistical support and contribute to maintaining a positive, efficient workplace environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Under the direction of the Chief Financial Officer and the Chief of Operations, the Human Resources Coordinator will be responsible for the following core areas (other duties may be assigned):
Recruitment Support:
- Assist in sourcing, screening, and interviewing candidates.
- Coordinate interview schedules, communicate with candidates, and ensure a positive candidate experience.
- Maintain an up-to-date database of candidates and track recruitment progress.
- Support department managers with job descriptions, candidate selection, and offer-letters.
- Assess and identify need for recruitment for each department.
HR Reporting & Analytics
- Prepare HR reports for leadership, focusing on recruitment metrics, turnover rates, and other key HR data.
- Analyze HR data to identify trends, areas for improvement, and support strategic decision-making.
- Maintain and update HR dashboards and records.
Employee Onboarding & Training:
- Oversee new hire onboarding, ensuring the completion of paperwork, system setups, and coordination of orientation schedules.
- Coordinate training programs, including session scheduling, attendance tracking, and material preparation.
- Ensure smooth onboarding experience and effective communication of training information to new hires.
- Ensure all ongoing required employee training courses are completed and up to date.
Performance Management Support:
- Maintain tracking systems for employee evaluations, and performance review cycles.
- Follow up with each department to request employee updated performance evaluations.
Administrative & Logistics Support:
- Perform general HR administrative tasks (e.g. document management, system updates, record maintenance).
- Coordinate logistics for training sessions, HR events, and other accommodations.
- Support with HR compliance with I-9, EDD, FMLA, Workers’ Compensation and other reporting.
- Open and manage workers compensation claims.
- Handle employee relation matters and assist with conflict resolution.
- Process separation paperwork and conduct exit interviews.
- Initiate and manage employee benefits enrollment and open enrollment processes.
- Attend weekly supervision meetings with designated supervisor(s).
- Attend HR specific training(s) and maintain policy and procedures to comply with all regulations.
- Assist with other duties as assigned by the HR team.
Qualifications
- Bilingual (Spanish and English) - Required
- Education: Bachelor's degree in Human Resources or related field - Required
- Experience: Minimum 1 year in an administrative or HR support role – Required
- Preferred if applicant has experience with Paylocity.
- Strong proficiency in data analysis and HR reporting
- Excellent verbal and written communication skills
- Proficient in Microsoft Word, Excel, and other office software
- Strong organizational skills with the ability to manage multiple tasks and priorities
- High attention to detail, confidentiality, and the ability to work independently and as part of a team
- Ability to work flexible hours, including possible overtime

Registrations:
- Valid California Driver's license.
- Must pass pre-employment and maintain a clean criminal background screening / fingerprint clearance while employed
