Essential Functions

1. Provide administrative support to HR team in all areas of human resources.
2. Maintain accurate and up-to-date employee records in both physical and electronic formats.
3. Assist with recruitment efforts including posting job ads, screening resumes, scheduling interviews, and preparing new hire paperwork.
4. Coordinate onboarding and orientation processes for new hires.
5. Assist in benefits administration, including enrollments, changes, and responding to employee questions.
6. Track and maintain HR reports such as employee attendance, training logs, and compliance audits.
7. Tracks and maintains accurate records of employee training hours, documentation, and reporting in compliance with reimbursement requirements under the California Employment Training Panel (ETP) program.
8. Assists employees with Leave of Absence (LOA) requests by initiating Basic claims and coordinating with the third-party administrator. Collects and tracks required documentation (e.g., medical certifications), monitors the Basic system for updates, and ensures timely delivery of notices to employees (e.g., Designation Notices, Eligibility Letters, Denial Letters). Accurately tracks leave balances, coordinates with payroll, and communicates status updates to employees, supervisors, and the HR team. Provides routine reports to the Director of HR for employees nearing exhaustion of their 12-week entitlements. Ensures compliance with all LOA-related documentation and secure maintenance of medical records.
9. Help coordinate employee engagement and recognition activities.
10. Respond to employee inquiries regarding policies, procedures, and HR services in a timely and professional manner.
11. Support offboarding processes, including exit interviews and termination documentation.
12. Maintain confidentiality of employee records and sensitive information at all times.
13. Ensure compliance with federal, state, and local employment laws and internal HR policies.
15. Other duties as assigned.

Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday and occasionally Saturday. This position can regularly require long hours.
