Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
  • Answer multi-line phone systems promptly, demonstrating excellent phone etiquette and providing exceptional customer support
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
  • Coordinate calendar management and schedule appointments for staff and executives efficiently
  • Handle filing, proofreading, and document management to ensure all records are organized and up-to-date
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record keeping
  • Support human resources functions such as onboarding new employees, maintaining personnel files, and assisting with recruitment processes
  • Provide clerical support including typing, photocopying, faxing, and managing office supplies inventory
  • Manage incoming correspondence, emails, and inquiries with professionalism and timely responses
  • Maintain a clean, organized front desk area to promote a welcoming environment for clients and visitors

Requirements

  • Proven office management or administrative experience in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Experience with QuickBooks or bookkeeping is highly desirable
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Bilingual abilities are a plus to serve diverse client needs
  • Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
  • Familiarity with multi-line phone systems and front desk operations
  • Previous experience as a medical or dental receptionist or personal assistant is advantageous
  • Ability to handle confidential information discreetly and maintain professionalism at all times
  • Strong typing skills with attention to detail for proofreading and document accuracy
  • Knowledge of office equipment such as fax machines, scanners, printers, and filing systems
  • Effective time management skills to juggle multiple responsibilities efficiently
