Job Overview

The HR Operations Coordinator plays a key role in delivering a positive, compliant, and well-organized employee experience across the organization. This position supports accurate HR data management, smooth onboarding and offboarding processes, and consistent HR operations that help the business run efficiently.

Working closely with Site HR, the Talent Acquisition Partner, and HR Business Partners, this role supports employee lifecycle activities, helps maintain audit readiness, and contributes to the execution of HR initiatives that support growth and consistency across teams.

This is a behind-the-scenes role that makes a meaningful impact—ensuring HR systems, processes, and communications run smoothly while providing responsive, people-focused support to employees and internal stakeholders.

Position Summary

The HR Operations Coordinator supports a positive and compliant employee experience by ensuring accurate HR data management, efficient onboarding and offboarding, and consistent HR operations across the organization. This role partners closely with Site HR, the Talent Acquisition Partner, and HRBP Corporate Services to support employee lifecycle activities, maintain audit readiness, and help execute HR initiatives at scale.

This position plays a critical behind-the-scenes role in ensuring HR systems, processes, and communications operate smoothly while providing responsive support to employees and internal stakeholders.

Key Responsibilities

Onboarding & Offboarding

  • Initiate and process new-hire onboarding and terminations in ADP, ensuring accuracy and timeliness
  • Audit onboarding documentation for compliance (I-9s, W-4s, direct deposit, policy acknowledgments, etc.)
  • Order and track background checks, drug screens, and other pre-employment testing through approved vendors
  • Coordinate with Site HR and the Talent Acquisition Partner to ensure a smooth transition from offer acceptance to start date
  • Support offboarding logistics, including documentation, system updates, and equipment return coordination

HR Operations & Data Management

  • Maintain accurate employee data in ADP and support recurring HR audits and reports
  • Serve as a first-line resource for routine HR system transactions and process questions
  • Complete employment verifications and respond to unemployment claims in a timely manner
  • Support payroll and benefits data updates in partnership with HRBP Corporate Services
  • Maintain organized electronic personnel files and records in accordance with audit and retention requirements
  • Assist with internal compliance reviews (I-9 audits, personnel file audits, training completion tracking)

Compliance, Documentation & Process Support

  • Track completion of required HR and compliance training and follow up on missing items
  • Assist with HR policy updates, handbook acknowledgments, and documentation rollouts
  • Support version control and document retention standards

Engagement, Communication & Coordination

  • Partner with HR Representatives to lead and support employee engagement and recognition initiatives, ensuring a consistent experience across all sites and employee populations
  • Draft and distribute HR communications, announcements, event information, and employee lifecycle messaging (e.g., new hires, anniversaries, promotions)
  • Maintain HR calendars and support company-wide surveys, onboarding feedback efforts, and special projects

General HR Support

  • Manage the shared HR inbox, responding to routine inquiries or routing items to the appropriate HR team member
  • Provide administrative and coordination support for training logistics, HR initiatives, and cross-functional projects
  • Assist with benefits enrolment logistics, integrations, or HR system rollouts as needed

Qualifications

Required

  • Strong attention to detail and ability to handle confidential information with discretion
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong written communication and organizational skills

Preferred

  • 2–4 years of experience in HR operations, HR administration, or a related role
  • Experience working with HRIS systems (ADP Workforce Now preferred)
  • Experience supporting multi-site or hybrid workforces
  • Familiarity with employment compliance requirements (I-9, onboarding audits, unemployment claims)
  • Experience supporting HR reporting, audits, or process documentation


Work Environment

Onsite role with occasional travel (estimated 10–20%) to manufacturing sites, corporate offices, and recruiting events.

Prolonged periods of sitting, working at a computer, and participating in virtual meetings.

Ability to travel occasionally to company facilities, hiring events, or industry functions.

Ability to walk, stand, and move through manufacturing environments during site visits.

Must be able to lift up to 20 pounds (e.g., event materials, recruiting supplies), as needed.
