Primary Purpose
The Human Resources Coordinator is an integral part of the HR team and will collaborate closely with the Associate Director of HR & Staff Development to coordinate events, trainings and recruitment. This role will be instrumental in HR communications, recruitment, and scheduling so that all employees have a positive and engaging experience throughout their tenure. The ideal candidate will possess excellent communication skills, attention to detail, and a passion for creating a supportive and inclusive workplace culture.
Education and Experience
- 2+ years of experience in HR, with a focus on onboarding, employee engagement, training, talent acquisition or related areas.
- The ability to work with sensitive and confidential information.

Minimum Qualifications

Provide proof of current, valid Oregon Driver’s License (or if out-of-state will obtain Oregon license within 30 days), comprehensive automobile insurance (if applicable) and a safe driving record (minimum of 3 yrs.) to use company or personal vehicle for required duties.

Successfully pass a Criminal Background Check and Medicaid Fraud Check.

Become BCU/QED (Background Check Unit/Qualified Entity Designee) within three months.
Essential Duties, Responsibilities and Core Competencies

Responsible for recruitment, and internship process for all open positions at Kairos including managing all internal and external job postings.

Prepare and post advertisements for Jobs and training opportunities to the community through social media.

Work closely with hiring managers on recruitment needs, process, and interviewing

Create and distribute new hire paperwork and welcome packages including employee ID badges, agency swag, and business cards.
- Attend Job Fairs, community events, etc. to create recruitment exposure

Conduct new hire wage workups and job offers for HR Director approval

Serve as back up for orientation.
- Update and maintain employee job descriptions.

Maintain accurate records and tracking of employee trainings and certifications and recruitment documentation, including monthly reminder emails as needed.

Update and maintain information on the HRIS, UKG, including announcements, flyers, Team Dashboard, phone lists, employee anniversaries, benefits information etc...
- Answers frequently asked questions from applicants and employees relative to standard policies, hiring processes, etc. refers more complex questions to appropriate senior-level HR staff or HR Director.

Participate in Staff Empowerment committee and may be appointed to participate and/or take minutes for other HR-related committees and/or special projects.
- Assist with planning and execution of employee engagement activities including special events, the Annual All Staff, Leadership meetings, and Training events.

Order, track, and distribute agency giveaways and swag for events.
- Create, maintain and assign surveys in UKG and Survey Monkey.

Seek out, create, and maintain employee perks.
- Track payments/expenses related to training offered to external partners.
- Collect feedback from interviewers and candidates following interviews and ensure that all relevant parties are informed of outcomes.

Serve as the on-site point of contact for HR office operations in the Grants Pass office.

Help coordinate office logistics, supply management, mail and package handling, maintenance requests, security access, space setup, and visitor management).

Ensure the office maintains a professional, organized, and welcoming atmosphere that reflects Kairos culture and values.
