Human Resources Coordinator

POSITION SUMMARY:

The Human Resources Coordinator is responsible for assisting in the day-to-day HR operations and will work in close cooperation with the Human Resources Generalist. The HR Coordinator will provide administrative support for all HR functions, including recruitment, onboarding, training, record keeping, benefits, compliance and other duties as assigned.


RESPONSIBILITIES:

  • Provide day-to-day administrative support to ensure efficient HR operations.
  • Coordinating file organization, scanning, and document archiving.
  • Supporting HR leadership with ad hoc requests beyond onboarding and benefits.
  • Coordinate recruitment activities, including posting job openings, verification of information with candidates, maintaining recruitment records, and collecting required onboarding documentation.
  • Initiate pre-employment processes, including background checks, reference checks, and offer letter preparation.
  • Assist in onboarding processes by preparing new hire paperwork, coordinating orientation, and tracking required documentation for new hires.
  • Conducting or helping with new employee orientation
  • Coordinate with the IT team and cross-functional departments to ensure new hires are set up with appropriate system access, equipment, and tools, including submitting access requests, tracking provisioning status, and confirming onboarding readiness prior to start date.
  • Provide employees with basic benefits information, materials, and enrollment guidance; escalate complex questions or issues to the HR Generalist.
  • Support preparation and distribution of open enrollment materials and communications.
  • Track and monitor employee training, certifications, and compliance requirements in partnership with the HR Generalist.
  • Maintain accurate employee records in HRIS and personnel files in compliance with organizational and legal requirements.
  • Conduct routine audits of HR files and systems to ensure accuracy and compliance.
  • Maintain strict confidentiality of all employees and organizational information.
  • Perform other duties as assigned by HR leadership.

Essential Functions

  • Execute HR responsibilities with a strong sense of urgency, consistently meeting deadlines and supporting business-critical timelines.
  • Partners collaboratively with HR, leadership, and cross-functional teams to drive alignment and support organizational objectives.
  • Cross-train across core HR functions to ensure operational continuity and flexibility in support of business needs.
  • Contribute to the achievement of HR and company-wide goals by effectively coordinating and executing HR programs and initiatives.
  • Maintain a high standard of accuracy, organization, and confidentiality in all HR records, systems, and communications.
  • Deliver responsive, professional communication and service to employees, leadership, and external partners.
  • Identify and support process improvements that enhance efficiency, compliance, and the overall employee experience.
  • Adapt to evolving priorities and perform additional duties or projects that support organizational growth and operational excellence.

EDUCATIONAL REQUIREMENT / WORK EXPERIENCE

  • Associate’s degree in human resources, business or related field.
  • One to two years’ experience in the field of Human Resources.
  • Basic knowledge of core HR responsibilities.

SKILLS REQUIREMENT:

  • Ability to handle confidential information with discretion.
  • Experience in working with the Native American population preferred.
  • Demonstrate time management skills to achieve multiple tasks and job completion to agreed-upon deadlines and managing tasks efficiently.
  • Strong interpersonal skills with a demonstrated ability to work effectively with a wide range of people, teams, managers, supervisors, and vendors.
  • Excellent verbal and written communication skills, including presentations.

FAIR LABOR STANDARDS ACT:

This position is Exempt for overtime pay provisions as provided by the Federal Fair Labor Standards Act (FLSA) and any applicable state laws. Non-Exempt employees are entitled to overtime pay for hours worked in excess of forty (40) hours per workweek.
