Why This Role Matters

As an HR Coordinator at LOVING, you'll be a hands-on partner to our employees and leaders across multiple locations and departments. This role sits at the intersection of people, process, and compliance, with a strong focus on talent acquisition, onboarding, and safety documentation. You'll help us grow our team, bring new hires in the right way, and make sure our workforce stays safe, supported, and set up to succeed. Bilingual fluency in English and Spanish is required to be considered for this role. It is not optional. It is essential to how we serve our field teams and deliver consistent HR across our operations.

What Success Looks Like

  • Coordinate day-to-day recruiting efforts, including posting open positions, screening candidates, scheduling interviews, and managing candidate communication.
  • Maintain an accurate and up-to-date Applicant Tracking System (ATS) to support Spanish-language recruiting initiatives aimed at reaching our field workforce.
  • Oversee the new hire onboarding process from offer acceptance to Day 1 and beyond, ensuring a seamless experience for new employees.
  • Prepare offer letters and new hire packets, coordinate background checks, complete I-9 and E-Verify processes, and conduct orientations in both English and Spanish.
  • Ensure accurate entry of new hires into HRIS and payroll systems before their first day, following up to confirm smooth transitions into their roles.
  • Track safety certifications, organize meeting records, and ensure all compliance documents are current and accessible, coordinating with field supervisors to identify and address discrepancies.
  • Maintain employee records and support the administration of FMLA, OFLA, and various leave processes, assisting employees with benefits navigation and open enrollment inquiries.
  • Serve as the initial point of contact for HR-related questions, assist with documentation and follow-up, and escalate concerns to HR leadership as necessary to promote a professional work environment.
  • Process employee changes, run routine reports, update records, support audits, and assist in HR system updates and process improvements, ensuring data accuracy is prioritized.
  • Facilitate company-wide communications, distribute materials, assist with training coordination, and translate communications for Spanish-speaking employees.
  • Manage digital HR files, track HR tasks, ensure updated policies are distributed, and standardize HR operating processes, including training scheduling for both office and field teams.
  • Generate workforce reports related to headcount, turnover, and compliance, and provide support for internal and external audit requests as necessary.
  • Fulfill additional responsibilities as assigned that align with the mission and core values of LOVING, fostering a culture of community, integrity, and impact.

What Sets You Apart

  • Minimum of 3 years of hands-on HR experience across onboarding, recruiting coordination, benefits support, compliance administration, and general employee lifecycle management.
  • Bilingual fluency in English and Spanish is required to be considered for this role. You must be able to translate conversations, documents, onboarding materials, and employee communications accurately and professionally for both office and field employees. This is a hard requirement, not a preference.
  • Proven experience working in an HRIS and ATS, with a strong understanding of data accuracy, workflows, and system functionality. Experience with Rippling or a similar modern platform is a significant advantage.
  • Exceptional attention to detail, with the ability to maintain accurate records, manage sensitive information, track compliance documentation, and follow structured processes without error.
  • Strong communication and interpersonal skills, including the ability to engage with employees at all levels, de-escalate concerns, deliver clear instructions, and represent the HR function with professionalism and approachability.
  • Demonstrated ability to manage multiple priorities in a fast-paced environment, meet deadlines, and adjust to shifting operational needs without dropping the ball.
