Human Resources Coordinator (Internship Coordinator) who will work to ensure the agency's internship program runs efficiently. The coordinator will help assign the students to various departments and work closely with managers answering questions and assisting with the hiring process when necessary. This position will also assist in connecting the Agency with educational institutions. This position must be able to work effectively as a member of a team, be able to provide valuable feedback, and think critically.

Oversee the Agency's Internship Program. Responsible for coordinating the internship hiring process for the spring, summer and fall cohorts to include building a calendar with important dates for each cohort. Communicates with budgets to secure approval of allotted intern slots per cohort, their dates of employment and hourly rate of pay. Collaborates with communications to ensure timely publication of announcements regarding upcoming internship cohorts in the agency’s weekly newsletter, prior to the start of recruiting for a new intern cohort. Initiates outreach to partnerships, colleges and external organizations to promote the upcoming cohort.

The Intern Coordinator (IC) will be responsible for creating and submitting the personnel transaction form (114 electronic form) with an up-to-date position description for approval to initiate the posting of the intern positions. Advertise intern openings on the state’s recruitment website and other external sources. Conducts application prescreening for positions and refers applications that meet the minimum qualifications to the hiring managers based on their area of study. Works closely with various program staff to assist in facilitating a seamless transition for the candidate from the interview to onboarding. Participates in intern selection panels to ensure consistency and alignment with the program goals. The Internship Coordinator is responsible for maintaining an up-to-date record of interns who have been selected. This list serves as the primary source for providing timely updates to the 114 team regarding intern onboarding and offboarding.

The Internship Coordinator will conduct a dedicated intern orientation session following the completion of the initial new hire orientation. Responsible for preparation and delivery of the position description for signature after onboarding. The Internship Coordinator will conduct weekly face-to-face check-in meeting alternating between hiring managers ad interns. The check-ins will provide support to the intern and their hiring manager, address any concerns and monitor progress. The IC will send out email reminders and updates to interns, hiring managers and/or relevant stakeholders to help keep tasks and timelines on schedule.

The internship Coordinator serves as the face of the agency at career fairs, college recruitment events, and community partner engagements. Recruit candidates for the agency’s internship program as well as other open positions across the department and builds relationships with contacts.
Performs other related duties as assigned. The Internship Coordinator will serve as back up to the human resources front desk when the HR Assistant is out of the office and/or during lunch periods. Regularly reviews and updates policies and procedures to ensure it is evolving with the program needs.
