Position Overview:
The HR Coordinator provides essential administrative and operational support to a small Human Resources department. This role serves as a primary point of contact for routine HR inquiries and supports day-to-day office operations, onboarding, recruitment activities, and employee processes. A successful HR Coordinator is highly detail-oriented, personable, and collaborative, with a strong commitment to confidentiality, accuracy, and customer service. Success in this role requires the ability to manage multiple tasks, follow established procedures, and work effectively as part of a team in a fast-paced academic and unionized environment.
Essential Job Responsibilities:
- Serves as a first point of contact for employment-related inquiries from applicants, employees, and supervisors; provides routine information and refers complex or sensitive matters to appropriate HR staff.

Coordinates and conducts onboarding for faculty, staff, and student employees, including preparation of new-hire materials, scheduling onboarding appointments, and ensuring completion of required documentation.

Provides administrative support for recruitment activities, including posting positions, tracking applicant status in the HRIS, communicating with candidates throughout the recruitment process, and assisting with interview logistics.

Schedules interviews, meetings, and recruitment-related appointments as requested by the Human Resources department.

Compiles, prepares, and distributes adjunct faculty offer letters on a quarterly basis; copies, scans, mails, and electronically distributes documents as needed.

Assists with the coordination and administration of the annual performance review process, including responding to routine inquiries, tracking completion, and maintaining related documentation.

Reviews, tracks, and documents compliance with required and recommended training programs.

Assists with the coordination of employee meetings, trainings, and department events, as needed.

Performs routine administrative tasks to support human resources programs, including workers’ compensation, benefits administration, leaves of absence, and personnel actions, in accordance with established procedures and collective bargaining agreements.

Maintains accurate and confidential employee records by preparing, organizing, and filing documents in appropriate personnel files and HR systems.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and relevant experience.

1-2 years of experience in human resources, higher education administration, or a related support role.

Clear and professional verbal and written communication skills, with the ability to interact respectfully with a diverse campus community.

Strong interpersonal and customer service skills, with an understanding of the importance of collaboration in a unionized and academic environment.

Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.

Foundational understanding of human resources principles, practices, and procedures, including confidentiality and compliance.

Ability to manage time effectively, meet deadlines, and follow established processes and collective bargaining agreements.

Ability to work effectively in a fast-paced environment while maintaining accuracy and professionalism.

Proficiency with Microsoft Office Suite (Outlook, Word, Excel) or similar software applications.
