To contribute to an exciting, fast-paced environment, responsible for providing support across all HR functions, including recruiting and on-boarding; compensation, payroll, and benefits administration. Also oversee building and office management functions, including coordinating with equipment and services vendors and suppliers. Assist with internal communications and special projects.

Duties and responsibilities

· Handles payroll processing for all corporate staff (using current PEO system) and oversees Board of Director’s payment upon request.

· Assist in payroll changes including deductions, rate changes, transfers etc.

· Manages all employee timecards, time off requests and PTO accruals.

· Processes 401K ER & EE contributions.

· Administers various employee benefit programs, such as group insurance, life, medical and dental, accident and disability, insurance, pensions, investments, and savings; and health maintenance organizations.

· Responsible for scheduling interviews and guiding all candidates through the interview process.

· Manages the applicant tracking system for all departments.

· Provide all documents requested for audits and auditors.

· Assists in screening eligible candidates for selected positions.

· Responsible for processing pre-employment drug screens and background checks.

· Assists in conducting new-hire orientations.

· Prepare and maintain employee files, assuring accuracy, compliance and confidentiality. i.e: unemployment claims, verifications, I9 status and State regulations.

· Collaborate with department directors to assist with their staff’s performance reviews, documentation or termination paperwork.

· Manages temporary staffing including interviews, hiring and all communication with agencies.

· Make suggestions in the spirit of continuous improvement, to support overall company efficiency with innovative ideas.

· Help plan and support company-sponsored events for employees.

· Contribute to team effort by accomplishing assigned projects as needed.

· Assist and support Director with day-to-day tasks and special projects.

· Manages all bulletins and memos throughout Image location(s), keeping employees informed of the latest company information.

· Assist in office changes and space needs by acquiring furniture and equipment.

· Other duties assigned

· Support hiring managers with all aspects of sourcing, recruiting, and on-boarding for corporate office, supply chain, customer relations positions locally, and for sales positions across the country

· Organizing recruiting events, such as, job fairs and tours at local beauty schools to scout talent

· Posting open jobs on career websites and forums, screening resumes, performing phone interviews, declining candidates, keeping track of recruiting process and open positions.

· Support all compensation, payroll and benefits administration

· Organizing corporate theme events, to create a harmonious working environment

· Assist with training and development, and with employee relations cases as needed

· Assist in developing and executing new hire onboard system to be implemented.

· Maintain updating of employee handbook and dress code

· Always have a door open to staff for any other their needs

· Maintain employee records in accordance with legislative requirements and corporate policies

· Ensure compliance with federal and state regulations concerning employment.

Qualifications

· Bachelor’s Degree or higher

· Well organized with strong attention to detail

· Multitasking ability

· Excellent interpersonal skills

· Prior customer service experience

· Prior management experience

· Experience with Benefits Administration and Payroll

· Strong communication skills (both oral and written)

· High integrity and respect for confidentiality

· 10+ years administrative, management, and HR experiences

· High level of enthusiasm; problem solver

· Ability to multitask and work at a quick, efficient pace

· Must have the highest standard of ethical conduct

· Effective decision making skills needed

· Must display sense of strategic thinking

· Must have strong leadership skills

· Must exude positive, harmonious energy
