Human Resources Project Coordinator, Robotics Venture

About the Company



We’re hiring a Shared Services Coordinator to oversee shared services that support the robotics venture's operations. This role acts as the point of contact between internal teams and the shared services provider, ensuring that service requests are properly captured, prioritized, and tracked through to completion. The Shared Services Coordinator also monitors service performance and governance, working with stakeholders and the provider to ensure services are delivered in line with agreed standards. This job is about making sure support services run smoothly for the robotics business.



About the Role



You are the main go‑between for internal teams (like HR, Finance, IT) and the shared services provider. When someone inside the company needs help, you collect the request, make sure it has the right details and approvals, and pass it on to the provider. You decide what’s urgent and what can wait, and then track each request until it’s fully completed. You keep an eye on how well the provider is doing—whether they’re meeting deadlines and agreed service levels. You also work with stakeholders to review performance, handle issues, and make sure the services meet expected standards.



Responsibilities



  • Serve as the contact point for service requests across HR, Finance, Procurement, and IT functions.
  • Collect, structure, and submit service requests from internal teams, ensuring required information and approvals are in place.
  • Maintain structured request tracking and documentation to ensure transparency and accountability.
  • Coordinate with the shared services provider to resolve operational issues and manage escalations when required.
  • Track service requests end-to-end to ensure execution within agreed timelines and service levels.
  • Facilitate service review meetings with the provider to assess performance and address operational matters.
  • Monitor service performance and identify delays, gaps, or operational issues that may impact business activities.
  • Define and track KPIs to quantifiably measure service performance.
  • Prepare dashboards and reports for management to report on state of service performance.



Qualifications



  • 5+ years of experience in project management, shared services coordination, vendor management, or operational program management.
  • Experience working in environments where multiple operational services are delivered through centralized or outsourced models.
  • Experience coordinating cross-functional operational requests and managing structured service workflows.
  • Ability to manage relationships with external teams and ensure accountability for service performance.
  • Strong organizational and communication skills with the ability to manage multiple projects, tasks, or requests simultaneously.
  • Comfort operating in fast-moving and evolving organizational environments.
  • Strong problem-solving mindset and ability to manage operational escalations effectively.



Preferred Skills



  • Bachelor’s degree in Business Administration, Economics, Management, or a related field.
  • Relevant service or project management certifications (e.g., ITIL, PMP, or equivalent) are preferred but not required.
  • Additional certifications in operations or process improvement (e.g., Lean Six Sigma) are considered an advantage.
