CAS Service dispatcher
Work Hours: 8:00am to 5:00pm
Primary job function:
Maintain the service technicians daily schedule and dispatch the technicians as service calls are completed. Schedule return trips with customers when parts are in. Maintain the “On-Call” schedule for service technicians. Maintain customer database with current information. Clear and Concise communication with department managers, company employees, and company customers, including keeping customer informed of company schedule and requested lead times. Providing accounting with maintenance contract billing information.
Reports to: Service Manager
Daily Duties:
1. Dispatch service technicians
2. Respond to all messages left over night
3. Schedule and coordinate all demand service calls as calls are received
4. Create work orders for service calls
5. Maintain the dispatch board
6. Contact customers with “Parts Pending” status when parts are received for scheduling
7. Maintain Maintenance agreements, include billing, scheduling, database information, customer hard files and renewals.
8. Update customer files as information is received from installation. (extended warranties, equipment info, new customers)
9. Type service contract proposals
10. Maintain on call schedule
11. Maintain customer history file
12. Prepare paperwork for manufacturing warranty parts with shop manager
13. Answer incoming calls and dispatch call to person/department requested
14. Update service department reporting
Performance indicators:
1. Number of customer complaints due to scheduling
2. Number of return trips/call backs due to scheduling inefficiencies
3. Accuracy of customer files
4. Accuracy of customer maintenance agreement files and growth of agreement customers
6. Timeliness of customer billing and collections
Job Type: Full-time
Pay: $14.00 - $16.00 per hour
