HVAC Inventory & Parts Coordinator

Position Overview

Element Service Group is seeking a dependable and organized Warehouse Associate to support our HVAC operations team. This role is responsible for warehouse organization, inventory management, parts ordering, and supporting field technicians by ensuring materials, equipment, and job-related items are accurate, available, and ready for scheduled work.

A major component of this position includes managing and tracking parts orders through ServiceTitan, monitoring job progress, coordinating with vendors, and helping maintain efficient operational flow between the office, warehouse, and field teams.

The ideal candidate is detail-oriented, proactive, comfortable with technology, and able to work in a fast-paced service environment.

Key Responsibilities

  • Maintain organization and cleanliness of warehouse, inventory areas, and material storage
  • Receive, inspect, label, and stock incoming HVAC equipment, parts, and materials
  • Pull and stage materials for upcoming service and installation jobs
  • Order HVAC parts, equipment, and materials from approved vendors
  • Monitor and manage parts status for active ServiceTitan jobs
  • Coordinate with technicians, dispatchers, and managers regarding parts availability and job needs
  • Track backordered items and follow up with vendors to ensure timely delivery
  • Ensure technicians receive accurate materials and equipment for scheduled jobs
  • Assist with inventory counts, stock management, and warehouse audits
  • Maintain accurate inventory and purchasing records within ServiceTitan and other company systems
  • Assist with warranty part returns and equipment exchanges as needed
  • Load and unload delivery trucks safely and efficiently
  • Operate warehouse equipment and company vehicles in a safe manner
  • Support operational and field teams with additional duties as needed

Qualifications

  • Previous warehouse, inventory, or HVAC industry experience preferred
  • Experience with ServiceTitan or similar field service software preferred
  • Strong organizational and time management skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Basic computer and data entry skills
  • Strong communication and teamwork abilities
  • Ability to lift and move equipment and materials as needed
  • Valid driver’s license preferred

Physical Requirements

  • Ability to regularly lift, carry, push, or pull up to 50 pounds
  • Ability to stand, walk, bend, and move throughout the workday
  • Ability to work in warehouse and shop environments with varying temperatures

Work Environment

This position operates primarily within a warehouse and operational support environment and regularly interacts with office staff, service technicians, installers, and vendors.

Pay: $20.00 - $25.00 per hour
