HVAC Order Tracking / Parts Specialist

We are looking for a motivated and organized Entry-Level HVAC Project Coordinator to support our project management team in delivering HVAC projects on time, on budget, and with high customer satisfaction. This role is ideal for someone interested in launching a career in the HVAC or construction industry and gaining hands-on experience in project coordination, scheduling, and client communication.

We are seeking a highly organized and detail-oriented Order Tracker / Parts Specialist to join our team. This role is responsible for tracking, managing, and ensuring timely delivery of parts and materials using vendor and logistics tracking portals. You will serve as the primary point of contact between our internal teams, vendors, and shippers to monitor the status of orders, troubleshoot delays, and maintain accurate records.

This position is ideal for someone who is tech-savvy, proactive, and thrives in a fast-paced environment where accurate order tracking is critical to operational success.

Location: West Monroe, LA

Position: Full time permanent

Pay: $15 an hour to start with potential to make more based on performance

Key Responsibilities:

  • Monitor and track all parts and material orders using multiple vendor and logistics tracking portals.
  • Coordinate with suppliers, shipping companies, and internal departments to confirm shipment statuses and expected delivery dates.
  • Update and maintain accurate order records in internal systems (ERP, spreadsheets, or inventory software).
  • Proactively identify and escalate shipping delays, missing parts, or discrepancies to appropriate stakeholders.
  • Communicate delivery updates and ETAs to project managers, technicians, or relevant team members.
  • Assist with placing new orders as needed, ensuring part numbers, quantities, and shipping details are correct.
  • Support inventory control by reconciling incoming shipments with purchase orders and flagging any variances.
  • Develop and maintain tracking reports for internal distribution and review.

Qualifications:

  • Must be fluent in Excel and Microsoft office with the ability to grasp other computer programs easily.
  • Ability to multitask and have great attention to detail.
  • Excellent communication and organizational skills
  • Outstanding customer service and interpersonal skills.
  • We are willing to train the right applicant if they have no prior MEP experience.
  • Previous experience working with Inventory preferred but not required.
  • Ability to prioritize and manage multiple open orders in a dynamic environment.
