Position Summary

The HVAC Purchasing Manager is responsible for sourcing, negotiating, and procuring HVAC equipment, materials, and subcontracted services to support residential, commercial, or industrial HVAC operations. This role ensures cost-effective purchasing, timely delivery, vendor quality, and inventory accuracy while supporting project managers, field technicians, and warehouse personnel. The ideal candidate has strong HVAC product knowledge, excellent negotiating skills, and the ability to manage vendor relationships in a fast-paced environment.

Key ResponsibilitiesProcurement & Purchasing

• Source and purchase HVAC equipment, parts, tools, and supplies (e.g., RTUs, heat pumps, mini-splits, controls, refrigerants, sheet metal).
• Obtain competitive bids and negotiate pricing, terms, and lead times with vendors and manufacturers.
• Issue purchase orders and track orders through delivery and receipt.
• Ensure compliance with company purchasing policies and project budgets.

Vendor & Supplier Management

• Develop and maintain relationships with HVAC distributors, manufacturers, and subcontractors.
• Evaluate supplier performance regarding pricing, reliability, quality, and service levels.
• Resolve vendor issues including shortages, backorders, returns, and warranty claims.
• Conduct periodic vendor reviews and support vendor qualification processes.

Inventory & Logistics

• Work with warehouse and field teams to maintain appropriate inventory levels.
• Track stock availability and manage replenishment cycles.
• Coordinate delivery schedules to job sites and shop locations.
• Monitor freight charges and negotiate shipping terms to reduce costs.

Administrative & Reporting

• Maintain purchasing records, pricing databases, and vendor contracts.
• Update ERP or purchasing systems with accurate information and lead times.
• Track and report on cost savings, purchasing KPIs, and budget variance.
• Ensure compliance with safety, environmental, and regulatory requirements.

Job Type: Full-time

Pay: $70,000.00 - $80,000.00 per year
