HVAC Service Dispatcher

Job Overview
We are seeking an organized, detail-oriented, and customer-focused HVAC Service Dispatcher to coordinate service operations for our commercial and industrial HVAC clients. This role is crucial to the efficiency and success of our field service team by ensuring that service technicians are properly scheduled, equipped, and informed to meet customer needs.

Responsibilities

• Schedule and dispatch HVAC service technicians for routine maintenance, emergency service calls, and quoted repairs.
• Monitor technician routes and workloads to ensure efficiency and timely response.
• Prioritize service requests based on urgency, location, and technician availability.
• Serve as the primary point of contact for commercial and industrial clients regarding service requests, updates, and scheduling.
• Maintain a professional and courteous demeanor in all customer interactions.
• Accurately enter service calls, notes, and technician feedback into the company’s service system.
• Maintain detailed records of service calls, job progress, and completion reports.
• Review and close out completed work orders.
• Relay technical information between technicians, customers, and internal departments.
• Follow up on open jobs, back-ordered parts, and customer concerns.
• Work closely with the service manager, parts department, and sales team to ensure cohesive workflow.

Qualifications

• High school diploma or equivalent; associate degree or technical certification preferred
• 2+ years of experience in dispatching or coordination, preferably in HVAC or another skilled trade industry
• Strong computer skills (experience with dispatch software, CRM systems, MS Office Suite)
• Excellent communication and problem-solving skills
• Ability to multitask and thrive in a fast-paced environment
• Knowledge of local geography and service area is a plus

Job Type: Full-time

Pay: $18.00 - $26.00 per hour
