Responsible for end-to-end import and purchasing operations for an AC trading company. Manages sourcing, supplier coordination, documentation, logistics, customs clearance, and inventory planning with full compliance to UAE import regulations.

Key Responsibilities

1. Sourcing & Purchasing

  • Identify, evaluate, and negotiate with international suppliers for AC units, spare parts, compressors, and related HVAC products.
  • Prepare RFQs, negotiate pricing, payment terms, and delivery schedules.
  • Maintain supplier database and evaluate supplier performance.
  • Coordinate with the sales and warehouse teams to determine purchase requirements and stock levels.

2. Import Operations

  • Manage complete import cycle: purchase order creation, shipment booking, freight coordination, customs documentation, and clearance.
  • Verify proforma invoices, packing lists, HS codes, and certificate requirements for HVAC items.
  • Ensure compliance with UAE import laws, SIRA/ESMA requirements where applicable.
  • Liaise with freight forwarders, shipping lines, and customs brokers to prevent delays.

3. Logistics & Coordination

  • Track shipments and update internal teams on expected arrival.
  • Coordinate delivery from port to warehouse, ensuring accurate receiving and documentation.
  • Optimize shipping costs and identify efficient logistics options (air, sea, land).

4. Documentation & Compliance

  • Prepare and manage LPOs, LC documents, shipping documents, COO, and inspection certificates.
  • Ensure compliance with UAE customs, duty structures, import regulations, and local municipality requirements for AC products.
  • Maintain accurate records of import transactions and regulatory documents.

5. Inventory & Cost Control

  • Monitor stock levels and reorder schedules.
  • Conduct cost analysis for landed cost calculations.
  • Support finance with supplier payments, reconciliations, and budgeting.

6. Reporting & Communication

  • Prepare weekly purchase status reports, shipment updates, and supplier performance summaries.
  • Coordinate with management, sales, warehouse, and finance teams for smooth operational flow.

Qualifications

  • Minimum 3–5 years UAE experience in import, procurement, or logistics (preferably in AC/HVAC or electronics trading).
  • Strong knowledge of UAE customs procedures, HS codes, import regulations, and shipping documentation.
  • Proficiency in ERP systems and MS Office.
  • Strong negotiation, communication, and organizational skills.
  • Ability to manage multiple shipments and deadlines.

Job Type: Full-time

Pay: Up to AED15,000.00 per month

Ability to commute/relocate:

  • Dubai: Reliably commute or planning to relocate before starting work (Required)
