- Arrange and manage the entire shipment process, including coordinating with freight
forwarders, customs brokers, and shipping lines.
- Prepare and process all necessary import and export documents, ensuring adherence
to international trade laws, customs regulations, and country-specific requirements.
- Track shipments from origin to destination to ensure timely delivery and proactively
address any potential delays or problems.
- Maintain accurate records of all import and export transactions and prepare regular
reports on activities and performance.
- Resolve any discrepancies or issues that may arise during the import/export process,
particularly those related to customs, shipping, or regulations.
- Strong understanding of international trade regulations and customs procedures.
- Preparing and submitting customs declarations and shipping documents.
- Ensuring that all import and export activities comply with global and local trade
regulations, laws, and policies.
- Addressing and resolving any issues that arise during the shipping process, such as
customs delays, damaged goods, or documentation errors.
- Maintaining accurate and detailed records of all import and export transactions.
- Coordinating with suppliers to confirm order fulfilment and shipment readiness.
- Negotiating shipping rates and contracts with carriers and logistics service providers
to optimize costs and timelines.
- Booking cargo space with freight forwarders and shipping lines.
- Working with customs brokers to ensure timely clearance of goods.
- Determining the correct tariff classifications for goods.
- Staying informed about changes in trade regulations and customs procedures
- Managing disputes with logistics partners or customers.
- Preparing and presenting reports on export activities, shipping costs, and
performance metrics to management.
- Maintain import/export registers and update ERP/logistics systems.
- Reconcile shipping documents with finance/accounts for accuracy.
- Ensure compliance with customs laws, DGFT regulations, and other trade
requirements.
- Evaluate freight forwarders’ performance and negotiate better rates/contracts.
- Monitor import/export expenses and suggest cost-saving measures.
- Keep updated with changes in import/export policies, tariffs, and trade agreements
- Support audits and provide necessary documentation for compliance checks.
- Strong coordination, negotiation, and problem-solving skills.
- Knowledge of export incentives, licenses, and regulations.
Documentation & Compliance:
- Prepare, check, and submit import/export documents (invoices, packing lists, BL/AWB,
COO, etc.).
- Ensure accuracy of HS codes, duty/tax calculations, and regulatory compliance.
- File customs declarations and follow up with customs brokers.
- Resolve queries related to shipments and documentation.
Cost & Payment Handling:
- Verify freight, duty, and clearing charges.
- Check the Checklist for Shipping bill filling
