Job Summary:
Inbound Gate Entry & GRN Processing is responsible for handling the complete inbound process at Nbox Logistics, including gate entry creation, verification of incoming goods, photograph documentation, SKU coordination, and Goods Receipt Note (GRN) posting in the Warehouse Management System (WMS).
The role ensures accuracy, traceability, and compliance with client SOPs — from material arrival to GRN submission — and coordinates closely with clients, the Quality team, and Put away team to ensure smooth warehouse operations in a 3PL logistics environment.
Key Responsibilities:
1. Gate Entry & Initial Verification
- Create Gate Entry records in WMS or register upon arrival of inbound materials.
- Verify vehicle number, transporter details, supplier name, and delivery documents (Invoice/DC).
- Capture detailed photographs of the vehicle, incoming goods, and packaging (including damages if any).
- Upload all photos and related documents to the Gate Entry record for traceability.
- Notify the Inbound and Quality teams once gate entry is completed.
2. Inbound Receiving & Quality Check Support
- Assist in unloading materials and verifying SKU codes, quantities, and packaging conditions.
- Support the Quality Check (QC) process by providing gate entry data and reference images.
- Record and report any shortages, damages, or incorrect materials immediately.
3. SKU Verification & Client Coordination
- Coordinate with the client before creating any new SKUs in the system.
- Confirm whether SKU codes will be provided by Nbox Logistics or the client.
- Once confirmed, record new SKU details such as description, dimensions, weight, and CBM accurately.
- Update or create SKU master data in WMS only after client approval.
4. GRN Processing in WMS
- Create and process Goods Receipt Notes (GRNs) in the WMS after successful QC approval.
- Accurately record item codes, batch/lot numbers, expiry dates, and received quantities.
- Ensure each GRN is correctly linked to its Gate Entry number and PO/ASN reference.
- Attach supporting documents and photographs to the GRN record.
5. Post-GRN Activities
- Assign the materials to the Put away Team upon GRN completion for storage allocation.
- Share GRN details and documents with the client immediately after posting.
- Confirm client acknowledgment and resolve any data or document discrepancies promptly.
6. Documentation & Reporting
- Maintain organized files for all Gate Entries, Photos, Delivery Challans, Invoices, QC Reports, SKU Masters, and GRNs.
- Prepare daily inbound and GRN summary reports for review by the Warehouse Supervisor or Operations Manager.
- Support internal and external audits by providing complete inbound documentation.
7. Coordination & Communication
- Coordinate effectively with the Quality, Inventory, Putaway, and Client Service teams.
- Communicate proactively with clients, suppliers, and transporters regarding discrepancies or clarifications.
- Work closely with the WMS and IT support teams for system updates and issue resolution.
8. Storage & Housekeeping
- Ensure approved materials are moved to assigned storage areas following FIFO/FEFO.
- Verify all materials are labeled with SKU codes / Barcodes
- Maintain cleanliness, organization, and safety in the gate entry and inbound areas.
Qualifications and Skills:
- Education: 10+2; Diploma or Degree in Logistics, Supply Chain, or Warehouse Management preferred.
- Experience: Must have GCC 1–3 years in 3PL warehouse or inbound logistics operations with hands-on experience in Gate Entry, GRN Processing, and WMS.
Technical Skills:
- Working knowledge of Warehouse Management Systems (WMS) or ERP platforms (SAP, Oracle, Infor, etc.)
- Understanding of SKU management and inbound documentation
- Ability to capture and upload photographs and documents digitally
- Basic computer literacy (Excel, Word, email communication)
