We are currently seeking an Intake Assistant to join our California team! The Intake Assistant will be responsible for the initial processing and administration of all samples tested by the laboratory. In addition to sample intake, this employee will also handle invoicing (AR/AP) of all client transactions, sales support, occasional reception of the front desk, and be trained in entry level lab processing tasks. This position is an entry level role within our lab and a great place to begin building a career within a growing company in an ever expansive industry. This position will work an Evening Shift: Monday to Friday, 1:30pm - 10:00pm.

KEY RESPONSIBILITIES:

  • Ensures proper sampling and oversight of all cannabis and hemp samples received by the laboratory.
  • Without error, creates client orders and photographs samples to enter data into internal and state databases (METRC).
  • Ensures clients receive requested services or updates in a timely fashion.
  • Notifies appropriate parties of expedited orders to ensure faster processing time.
  • Consistently checks for errors made by clients, account managers, and/or sample technicians and address errors to make applicable corrections.
  • Answers incoming phone calls and direct calls to necessary departments.
  • Remain in the front office as the first point of in-person contact for clients or visitors; reception of deliveries and drop-offs.
  • Provides exceptional customer service in person, over the phone, and via email.
  • High-level of interaction with Sales and Laboratory team to resolve sample discrepancies.
  • Ensure the Company has required licenses for clients and properly filled out Chain of Custodies.
  • Creates invoices for samples received and handles in-person cash payments; Keeps accurate records of client transactions.
  • Resolves price discrepancies and applies promotions to sampling invoices.
  • Ensures accurate data entry into QuickBooks and internal LIMS (Laboratory Inventory Management System).
  • Entry level accounting tasks (Accounts Receivable and Accounts Payable administration).
  • Provide clerical and administrative support to management as requested.
  • Acts as a resource to clients when they have concerns or questions; Solve problems for existing accounts and assist new accounts in setting up.

REQUIRED EDUCATION, QUALIFICATIONS AND EXPERIENCE

  • Strong attention to detail and data entry skills.

  • Ideal candidate will be a creative, analytical problem-solver who can cooperatively and effectively work with colleagues.
  • Understands and follows verbal and written instructions; works independently in the absence of supervision.
  • Able to work quickly, without error in a high-pressure environment with ever-changing deadlines.
  • Effective communication skills (both verbal and written) with excellent computer, typing, and organizational abilities.
  • Ability and willingness to multi-task, and the ability to prioritize and manage assignments.
  • Positive attitude and willingness to work in a collaborative environment, must be a team player!
  • Personal integrity, disciplined work ethic, organization skills, and motivation to work with a sense of urgency.
  • Working knowledge of a broad range of plant medicine products, processes, and cultivation preferred (e.g. Cannabis, Hemp, CBD, and/or Fungi).
  • Previous experience working in a laboratory environment and/or in the cannabis industry is a plus.
  • Proficiency with the Microsoft Office suite (Word, Excel, etc.) and G Suite (primarily Google Sheets & Google Docs).
  • Prior experience with entry-level accounting tasks and principals.
  • Prior experience with QuickBooks or other accounting software/programs.
  • Must be comfortable working with and around cannabis and hemp products.
  • Must possess at least a High School Diploma or equivalent; Associate's or Technical/Vocational Degree a plus.
  • In-person position; must currently reside in the San Diego, CA region.
  • At least 1 year experience in an administrative role and/or laboratory environment required.
  • Must be at least 21 years old to comply with CA Department of Cannabis Control regulations.
  • Must not concurrently work in any other part of the cannabis industry.
