Intake Coordinator

Key Responsibilities

  • Serve as the primary point of contact for new clients and referral sources
  • Conduct initial intake screenings to determine service eligibility
  • Schedule appointments for assessments and follow-up services
  • Maintain accurate and confidential client records in the electronic health record (EHR) system
  • Coordinate with clinicians and administrative staff to ensure smooth client onboarding
  • Provide clear information about clinic services, policies, and procedures
  • Assist with front desk coverage and basic billing operations as needed
  • Support insurance verification and documentation collection
  • Ensure compliance with HIPAA and all regulatory standards
  • Promote an environment of inclusion, respect, and belonging
  • Maintain strict confidentiality at all times

Qualifications

  • Associate or bachelor’s degree in a related field preferred
  • Minimum of 1 year of experience in a healthcare or mental health setting
  • Strong interpersonal and communication skills
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
  • Knowledge of mental health terminology and services preferred
  • Bilingual (especially Spanish/English) candidates are highly encouraged to apply
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Familiarity with scheduling systems and electronic health records (EHR) preferred
  • Knowledge of OMH (Office of Mental Health) programming and Medicaid processes is a plus
